Job Description

Executive Assistant to C-Suite Irvine, CA We're partnering with a leading global food manufacturer headquartered in Irvine, CA -a privately held, fast-growing company known for its high-performance, ownership-driven culture . They are seeking a highly proactive and experienced Executive Assistant (5+ years) to support senior leadership. This role is ideal for someone who thrives in fast-paced environments, anticipates needs, and executes with precision. Key Responsibilities Executive Support & Calendar Management Own and optimize complex C-suite calendars across multiple time zones Strategically prioritize scheduling to maximize leadership effectiveness Act as a gatekeeper-triaging requests and protecting executive focus Meetings & Communication Ensure meetings are purposeful with agendas, pre-reads, and clear outcomes Track action items and drive follow-ups Draft polished, executive-ready communications and briefings Travel & Logistics Manage complex domestic and international travel (commercial and private) Build detailed itineraries with contingency plans and real-time adjustments Projects & Operations Support high-priority initiatives by coordinating stakeholders and timelines Conduct quick-turn research and prepare summaries Build SOPs, templates, and trackers to improve efficiency Create and maintain reports in Excel (pivots, lookups, data validation) Trusted Partnership Maintain strict confidentiality Provide responsive support during travel and time-sensitive situations Qualifications 5+ years supporting C-level executives in high-demand environments (tech, finance, operations, etc.) Proven ability to manage complex travel independently Strong judgment and ability to prioritize and push back when needed Advanced proficiency in Outlook, Teams, and Excel Excellent written and verbal communication skills Highly organized, detail-oriented, and solutions-driven Preferred Experience in high-growth or founder-led environments Exposure to VIP or security-sensitive travel coordination Experience building systems, workflows, and SOPs Perks & Benefits 100% employer-paid medical, dental, and vision Company-paid life and disability insurance 401(k) with match Free daily catered lunch + stocked breakroom Onsite gym All qualified applicants will receive consideration for employment without regard to race, color, national origin, age, ancestry, religion, sex, sexual orientation, gender identity, gender expression, marital status, disability, medical condition, genetic information, pregnancy, or military or veteran status.
