This is a full-time, on-site role based in Newport Beach and is ideal for a detail-oriented professional who thrives in a fast-paced, multi-faceted environment. This position pays $34-$36 per hour depending on experience. We are looking for a candidate who brings strong administrative and analytical skills, a high degree of professionalism and discretion, and the ability to manage competing priorities with minimal supervision. Prior experience in a construction, concrete, or industrial operations environment is a plus. A bachelor's degree is preferred.
Responsibilities & Essential Functions:
Serve as the primary point of contact for internal and external communications directed to the COO, including drafting, proofreading, and editing correspondence, reports, and presentations. Compile and distribute daily and weekly production yardage reports, plant production summaries, and Daily Summary and Hours reports for executive leadership and plant managers across all locations. Monitor fuel pricing trends, update daily fuel quote reports, audit fuel invoices, investigate discrepancies, and coordinate with vendors and sales representatives as needed. Maintain and track registrations for approximately 700 pieces of equipment, including preparing renewal lists, coordinating with plant locations, submitting renewals, and keeping vehicle records current. Collect, organize, and retain delivery tickets and operational documentation from plant managers; evaluate returned concrete classified as potential company error and process adjustments per company guidelines. Prepare expense reports, reconcile receipts, arrange travel itineraries, and manage other administrative tasks on behalf of the COO. Track project milestones and key initiatives to ensure deadlines are met and leadership is kept informed of progress. Coordinate purchasing of safety vests, PPE, and other supplies for all affiliated companies and operating divisions. Design and coordinate creation of signs, banners, notices, and visual materials for plant locations, safety programs, and operational needs. Handle sensitive and confidential information with the utmost discretion, demonstrating professionalism and integrity in all interactions with internal teams, vendors, and regulatory agencies.
Requirements:
3+ years of experience in an administrative, operations support, or executive assistant role; background in construction, concrete, or industrial operations is a strong plus. Bachelor's degree in Business Administration or a related field preferred; equivalent work experience will be considered. Advanced proficiency in Microsoft Office Suite, particularly Excel; strong data entry, reporting, and spreadsheet management skills. Excellent written and verbal communication skills with the ability to interface professionally with executive leadership, plant managers, vendors, and regulatory agencies. Highly organized with strong attention to detail and the ability to manage multiple priorities, deadlines, and high-volume tasks in a dynamic work environment.
