Lomita, CA Job Details Full-time From $20 an hour 5 hours ago Benefits Health insurance Paid time off Qualifications High school diploma or GED Organizational skills Clerical experience Appointment scheduling Time management Full Job Description We are looking for a responsible Executive Assistant to perform a variety of administrative tasks for an HOA Property Management office. Duties of the Executive Assistant include providing support to our property managers for all administrative, logistical, and scheduling needs. Executive Assistant responsibilities include coordinating and managing meeting arrangements, appointments, and conference calls, preparing reports and maintaining appropriate filing systems, and acting as primary liaison between homeowners and Board Members. The ideal candidate should have HOA Property Management experience, excellent oral and written communication skills and proficiency in Microsoft Office software. If you have previous experience as an administrative assistant and familiarity within our industry, we'd like to meet you. Ultimately, a successful Executive Assistant should ensure the efficient and smooth day-to-day operation of our property management duties. Responsibilities Organize and schedule appointments Plan meetings and transcribe minutes Write and distribute email, correspondence memos, letters, faxes and forms Assist in the preparation of regularly scheduled reports (financials & Board packages) Develop and maintain a filing system Maintain contact lists Liaise with Property Manager and HOA Board Members to handle requests and queries from homeowners as well as property management emergencies Communicate with third party vendors regarding future or current projects Skills Proven experience as an administrative assistant or office admin assistant Knowledge of office procedures Proficiency in MS Office Excellent time management skills and the ability to prioritize work Attention to detail and problem solving skills Excellent written and verbal communication skills Strong organizational skills with the ability to multi-task High School degree, GED or equivalent; additional qualification as an Executive Assistant or Secretary will be a plus
