Full Job Description Position Overview:
The Long Beach Headquarters of our award-winning, multi-brand design firm is searching for an Executive Assistant to work with members of our Principal group. This position will be a main point of contact for communication, scheduling, travel, and expenses, answering phones and emails, event coordination, and general day-to-day organization for Principals and office events.
Responsibilities:
Maintaining calendar for Principals as needed Managing and scheduling appointments and meetings Coordinating travel arrangements and expense reports Creating and updating documentation as needed Organizing files and programs appropriately Prioritizing and responding to emails and completing tasks in a timely manner Answering phone calls as needed Working on ad hoc projects and event coordination as assigned Maintaining comprehensive and accurate records and contacts Providing in-office support for meetings and events Performing general administrative support as needed Providing coverage support for team members as needed including the front desk
Qualifications:
3+ years supporting multiple senior executives Strong written and verbal communication skills and experience working with executives and clients Ability to effectively multi-task and complete assignments in a timely manner Superior organizational skills Proficient in computer skills including Microsoft 365 programs, Outlook, and calendar management Experience in travel coordination Positive attitude and resourceful problem solver Prompt and organized worker Bachelor's degree preferred Equal Opportunity Employer
