Job Description

Our client, a Marina Del Rey real estate portfolio company, is looking for an Executive Assistant. This role supports executives and managers by preparing reports, conducting research, and managing information requests. Handles a variety of administrative tasks such as welcoming visitors, receiving mail and packages, drafting correspondence, scheduling meetings and conference calls, and maintaining calendars. This position requires you to be on-site five days a week.
Key Responsibilities:
Provide administrative support to executive management and departmental leadersManage phone, email, and mail communications and facilitate information sharingMonitor expenditures, prepare budgeting spreadsheets, and reconcile accountsCompose correspondence for internal and external stakeholdersPrepare documents related to rent changes and security depositsDraft and maintain meeting minutes and corporate recordsSchedule and coordinate meetings, events, and appointments, including logisticsOrganize and distribute partner letters, distributions, and financial statementsPrepare daily financial reports and manage multiple accountsScan and electronically circulate incoming checksPurchase and maintain office supply inventorySort and distribute mail; handle certified mailings and proof of delivery for important documentsManage electronic and physical filing systemsCross-train to provide backup coverage for additional office functionsCoordinate and schedule external IT support for technical issuesComplete other duties and special projects as assigned
