A well-established organization is seeking a highly organized Executive Assistant to support senior leadership and keep key business processes running smoothly. This hands-on role is ideal for someone who excels at executive support, scheduling, meeting preparation, follow-through, and coordination. The ideal candidate is proactive, discreet, dependable, and able to manage multiple priorities in a fast-paced office environment. In this role, you will help senior leadership stay organized, prepared, and focused on key business priorities. Key Responsibilities Manage executive calendars, correspondence, recurring meetings, and company schedules. Coordinate travel arrangements and prepare expense reports. Prepare agendas, meeting materials, communications, reports, and related documentation. Coordinate meetings and events, including leadership meetings, committee meetings, customer meetings, internal gatherings, and management meetings. Manage related logistics, including food and beverage, room setup, shipping, packaging, event materials, recognition items, and sales awards support. Track recurring deadlines, operational reports, renewal processes, and internal communications. Maintain internal resources, process documentation, and administrative records. Use approved business tools, including AI tools when appropriate, to improve productivity. Handle confidential information with professionalism and discretion. Perform other administrative and operational projects as assigned. Qualifications Prior experience as an Executive Assistant, Operations Coordinator, Office Manager, or similar role. Strong calendar management, organization, and follow-through. Excellent written and verbal communication skills. Ability to manage multiple priorities without constant supervision. High attention to detail and strong professional judgment. Proficiency with Mac operating system, Microsoft Office, Outlook, Teams, Zoom, and related business tools. Experience with travel, expense reports, meeting logistics, or event coordination is preferred.
