This vital role offers the opportunity to support senior leadership by managing a wide range of administrative and office management responsibilities. Duties Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency Handle incoming calls using multi-line phone systems, practicing professional phone etiquette and providing excellent customer service Prepare, proofread, and edit correspondence, reports, and presentations to ensure clarity and accuracy Maintain organized filing systems, data entry records, and manage document flow using Google Workspace and Microsoft Office tools Assist with office management tasks such as supply ordering, mail distribution, and maintaining a tidy front desk area Support bookkeeping activities including basic QuickBooks data entry and tracking expenses or invoices Provide personal assistant support to executives as needed, including travel arrangements and calendar management Qualifications Proven experience in an administrative or office management role with strong clerical skills Exceptional computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools Demonstrated organizational skills with the ability to prioritize tasks effectively in a busy environment Excellent communication skills, including phone etiquette and bilingual capabilities (preferred but not required) Experience with office equipment such as multi-line phone systems, fax machines, and printers Strong typing speed with attention to detail for proofreading and document accuracy Previous experience as a receptionist or medical/dental receptionist is advantageous Personal assistant experience or background supporting executives is highly valued Knowledge of office procedures such as filing systems, calendar management, customer support, and time management techniques Join us to be part of an energetic team dedicated to excellence!
