This is a high-impact position for a motivated professional who thrives in a fast-paced environment and enjoys helping drive business growth, organization, and execution. This role goes far beyond answering phones and scheduling appointments. The ideal candidate will become a trusted partner to the COO, helping coordinate operations, acquisitions, real estate transactions, property management activities, and special projects. About Us We are an active commercial real estate investment and brokerage company specializing in acquisitions, mobile home parks, development projects, commercial properties, and long-term investment strategies. We are growing rapidly and need a highly capable individual who can help keep our organization operating efficiently. Key Responsibilities Manage the COO's calendar, appointments, and travel arrangements Coordinate meetings with investors, brokers, lenders, attorneys, contractors, and vendors Prepare reports, presentations, spreadsheets, and business correspondence Assist with commercial real estate acquisitions and due diligence Track contracts, escrows, leases, and transaction timelines Organize and maintain company records and project files Monitor deadlines and ensure follow-up on critical tasks Assist with property management and operational projects Coordinate communications between departments and outside partners Handle confidential information with professionalism and discretion Support strategic initiatives and special projects as assigned Handle incoming calls with professional phone etiquette, screen inquiries, and direct communications appropriately across multi-line phone systems. Support bookkeeping activities such as invoicing, expense tracking, and basic financial recordkeeping using QuickBooks or similar tools. Qualifications 3+ years of executive assistant, operations, project management, or administrative experience Strong organizational and problem-solving skills Exceptional written and verbal communication abilities Proficiency in Microsoft Office, Excel, Word, Outlook, and Google Workspace Ability to manage multiple priorities simultaneously Detail-oriented with strong follow-through Self-starter who can work independently with minimal supervision Real estate, escrow, title, lending, accounting, or property management experience is highly preferred Spanish Speaker (not required) The Ideal Candidate You are: Highly organized Resourceful and proactive Dependable and trustworthy Professional and polished Comfortable working directly with senior leadership Able to anticipate needs before they arise Committed to excellence and continuous improvement What We Offer Competitive compensation package Performance-based bonuses Opportunity for advancement Direct exposure to commercial real estate investing and acquisitions A dynamic and entrepreneurial work environment Long-term career growth opportunities
