12 months, contract-to-hire About our client: Addison Group is supporting a mission-driven organization focused on youth services and behavioral health. The organization provides a wide range of programs supporting children, teens, and transition-aged youth through mental health, housing, education, and wellness services. This role sits at the center of executive operations, supporting senior leadership in a highly visible and impactful capacity.
Job Description:
Our client is seeking a highly organized and proactive Executive Assistant to support two senior leaders. This individual will act as a critical operational partner, ensuring smooth day-to-day execution across executive priorities, administrative workflows, and cross-functional initiatives. The role requires someone who is highly detail-oriented, discreet, and able to bring structure to fast-moving and sometimes complex operational needs with minimal supervision.
Key Responsibilities:
Provide direct administrative and operational support to two senior executives Manage complex calendars, scheduling priorities, and meeting coordination Coordinate executive and board-level meetings, including agendas, materials, logistics, and follow-ups Organize, maintain, and update confidential financial, operational, and board documentation Track key administrative items such as renewals, contracts, insurance deadlines, and reporting needs Support project coordination across finance, operations, and leadership initiatives Clean and maintain digital file systems, including legacy data organization and documentation updates Prepare documents, presentations, spreadsheets, and reports using Microsoft Office tools Serve as a central coordination point for communication between leadership and internal teams Anticipate needs and independently manage competing priorities in a high-volume environment
Qualifications:
3-5+ years of experience in executive support, administration, office coordination, or similar roles Strong organizational and project management capabilities Experience supporting senior leadership in a fast-paced or high-volume environment Proven ability to handle confidential and sensitive information with discretion Strong proficiency in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint) Comfortable working independently with minimal training or oversight Ability to manage detailed documentation and large information sets accurately Professional, polished communication style with strong judgment and discretion Experience in mid-size to large organizations preferred Bachelor's degree preferred but not required based on experience
Additional Details:
Fully onsite role, Monday-Friday (Oakland, CA) Standard schedule: 8-hour workday with 30-minute lunch Reporting directly to CFO and Chief of Staff Interview process includes virtual interview followed by onsite interview Open to direct hire, contract (1+ year), or contract-to-hire arrangements
