Job Description

Position Overview The Springs Country Club is seeking a highly polished, discreet, and proactive Executive Assistant to support the General Manager/COO and Executive Office. This role serves as a trusted partner and primary liaison between the General Manager, Board of Directors, committees, members, and senior leadership. The ideal candidate brings prior experience in a private club or similar high-touch, member-driven environment , with a strong understanding of governance, confidentiality, and executive-level support. This position requires exceptional organizational skills, sound judgment, and the ability to manage sensitive information with the highest level of professionalism. Key Responsibilities Serve as the primary point of contact for the General Manager/COO, managing communication flow with professionalism and discretion Act as gatekeeper for the GM/COO's schedule, prioritizing competing demands and ensuring alignment with strategic priorities Coordinate all Board and committee meetings, including preparation and distribution of agendas, board packets, and supporting materials Record, prepare, and distribute accurate and timely meeting minutes for Board and committee meetings Track follow-up items, action lists, and key deliverables from Board, committee, and executive meetings Liaise with Board Members, legal counsel, consultants, and vendors as directed Draft, edit, and manage executive correspondence, including member communications, reports, and presentations Maintain and organize all corporate records, governance documents, and confidential materials Manage executive calendars, meetings, and travel logistics as needed Screen and manage incoming communications, including phone and email Support special projects and strategic initiatives on behalf of the General Manager/COO Uphold the highest level of confidentiality regarding member, Board, personnel, and legal matters Qualifications Private club or hospitality industry experience strongly preferred Minimum 3-5 years of Executive Assistant experience supporting senior leadership Experience supporting Boards, committees, or governance structures highly desirable Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) Experience with document management systems and virtual meeting platforms (Teams/Zoom) Ability to quickly learn club or association management software Core Competencies Exceptional organizational and time management skills Strong written and verbal communication abilities High level of discretion, professionalism, and emotional intelligence Ability to anticipate needs and operate proactively Strong attention to detail and accuracy Ability to manage multiple priorities in a fast-paced environment Sound judgment and problem-solving capability Strong interpersonal skills and ability to interact effectively with members and leadership Bilingual Spanish (preferred but not required) Education & Experience Bachelor's degree preferred Minimum 3-5 years in an executive support role Prior experience in a private club, hospitality, or similar member-focused organization strongly preferred Physical Requirements Prolonged periods of sitting and computer work Occasional lifting up to 15 pounds Ability to move throughout the Club as needed Benefits Competitive compensation package 401(k) with company match Medical, dental, vision, and life insurance Paid time off Equal Opportunity Employer The Springs is an equal opportunity employer committed to creating an inclusive environment for all employees.
