Job Overview We are seeking a dynamic and highly organized Administrative Assistant to join our team! Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth Operate multi-line phone systems, handle incoming calls with courteous phone etiquette, and direct inquiries efficiently Perform data entry tasks using Microsoft Office and Google Workspace applications to maintain accurate records Organize and file documents systematically, ensuring easy retrieval and compliance with company policies Support bookkeeping activities using QuickBooks or similar accounting software to assist with basic financial tasks Assist with calendar management and scheduling appointments for team members or executives Provide exceptional customer support by addressing inquiries promptly and professionally, both in person and via email or phone Requirements Proven office management or administrative experience in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools Excellent organizational skills with keen attention to detail and accuracy in proofreading and data entry Experience handling multi-line phone systems, phone etiquette, and front desk duties Bilingual abilities are highly desirable to serve diverse client needs effectively Familiarity with clerical tasks such as filing, photocopying, and document management Personal assistant or medical/dental receptionist experience is a plus but not required Ability to manage time efficiently, prioritize tasks effectively, and adapt quickly in a busy environment Join us as an Administrative Assistant where your organizational talents will shine!
