Job Description
We are looking for a skilled Executive Assistant to join a dynamic non-profit organization in San Francisco, California. In this Contract to permanent position, you will play a key role in supporting organizational leadership by managing administrative tasks, coordinating logistics, and ensuring seamless communication across teams. This opportunity is ideal for someone who thrives in a fast-paced environment and is passionate about contributing to meaningful causes.
Responsibilities:
- Perform a variety of administrative tasks to support organizational leadership, including scheduling, document preparation, and communication management.
- Collaborate on special projects by designing and producing detailed reports, presentations, and other complex documents.
- Serve as the primary liaison to the leadership team, ensuring smooth logistics for meetings, events, and conferences.
- Coordinate Board of Directors meetings by organizing schedules, preparing agendas, compiling materials, and recording minutes in compliance with bylaws.
- Manage relationships with internal teams and external stakeholders, ensuring that leadership is well-informed of upcoming deadlines and priorities.
- Anticipate leadership needs for events and meetings by preparing necessary materials and handling logistics in advance.
- Facilitate Executive Management Team meetings by arranging schedules and collaborating with team members to ensure seamless execution.
- Oversee travel arrangements, including booking flights, accommodations, and creating detailed itineraries.
- Maintain effective calendar management by scheduling appointments and resolving conflicts.
- Utilize Microsoft Office tools, including PowerPoint, to create high-quality materials for presentations and meetings.
