Scope :
As an Executive Assistant, you will have delegated authority from the Head(s) of Corporate Finance (the "Head(s)") to perform advanced administrative tasks on special projects and confidential assignments directly related to significant Company matters with minimal supervision. You will exercise considerable discretion and independent judgment in prioritizing and professionally managing the Head(s)' external contacts. You will also independently plan, organize and schedule work based on necessary deadlines and priorities. The Executive Assistant role requires extensive knowledge of Company operations and organizational procedures. It may also require regular use of technical and business vocabulary.
Core Responsibilities :
Provides administrative support to the Head(s) and their direct team in an efficient and timely manner. Stays informed of current projects, issues, and priorities across the line of business and takes on additional tasks as appropriate. Manages the following processes on behalf of Corporate Finance ("CF")
Management:
Event Request process review and approval up to $1000 Quarterly Business Review Process
  • including facilitating materials and complex scheduling with discretion over timing on behalf of the Head(s) Innovation Submission Committee Administration
  • including creation of a process for a new committee, drafting of communications, and furthering committee objectives Performance Review Process
  • including helping coordinate year-end review meetings, managing event logistics, and serving as on-site support for the year-end review meeting in Dallas Manages highly confidential, business sensitive information.
Exercises independence, judgement, and discretion in meeting acceptance, creation, and overall scheduling on behalf of assigned executive(s). Coordinates travel, hotel accommodations, and meeting facilities. Researches, negotiates, and arranges off-site meetings, events, and dinners. Develops itineraries to ensure maximum efficiency and convenience for each trip. Keeps track of potential clients and other contacts to meet in each destination city and schedules meeting opportunities. Creates and submits expense reports for assigned executive(s) in a timely manner, adhering to the Company's expense policies to ensure timely reimbursement. Proactively obtains missing receipts and reconciles credit card statements to ensure all expenses are submitted. Manages event planning and on-site event execution for Corporate Finance, including working with the Marketing Department to develop budgets, selecting venues, assisting with registration, coordinating with speakers, making menu selections (including special requirements), planning group activities, selecting and ordering event gifts, and other related tasks. Independently creates company-wide correspondences on behalf of assigned executive(s). Maintains a professional work environment, helping to create and foster a positive CF administrative culture. Assists with training and onboarding of new administrative assistants to ensure understanding of Company and departmental policies and procedures. Understands and upholds Company and departmental policies and procedures. Responds to requests for assistance from other business units, groups, and internal and external colleagues and proactively offers assistance when available.
Additional Responsibilities:
Assures that the executive(s)' schedules are aligned with identified priorities. Uses independent judgment in rearranging the executive(s)' schedule daily to ensure efficient use of time and manageable workload. Effectively coordinates and collaborates with colleagues, clients, and stakeholders at all levels to complete tasks and/or projects as needed. Performs other related duties and special projects as assigned.
Qualifications :
Exceptional attention to detail and organizational skills. Minimum of five (5) years of experience in an advanced administrative position, preferably in the professional or financial services industry. Intermediate or advanced knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint). Demonstrates effective decision-making skills and can make decisions independently or with minimal direction. Excellent analytical skills with the ability to work proactively and independently. Strong interpersonal and communication skills with ability to work with colleagues and clients. Advanced written communication skills, with accurate spelling, grammar, and punctuation. Ability to communicate in a clear, precise, and professional manner in both written and verbal communications. Ability to exercise good business judgment when responding to the needs of clients and stakeholders, both internal and external. Ability to multitask, prioritize, and manage the completion of projects in an efficient and timely manner independently or with limited supervision. The firm's good faith and reasonable estimate of the possible salary range for this role at the time of posting is: $120,000
