Executive Assistant to the Executive Director (Intern) Under the supervision of the Executive Director, the Executive Assistant (EA) provides high-level, proactive administrative support that enables the Executive Director to focus on strategic leadership, external relations, board governance, and program oversight. The EA serves as a trusted organizational hub managing communications, scheduling, document preparation, and stakeholder coordination while maintaining the highest standards of confidentiality and professionalism. This part-time position is integral to the effective operation of CID and requires someone who embodies the Independent Living philosophy and shares CID's commitment to disability justice and equity.
Specific Responsibilities:
1.Manage the Executive Director's calendar with a strategic lens — prioritizing high-impact activities, proactively resolving scheduling conflicts, and building appropriate buffer time around key commitments. 2.Serve as the primary gatekeeper for the ED's communications: screen and triage incoming calls, emails, and correspondence; draft and send responses on behalf of the ED as directed. 3.Prepare, format, proofread, and finalize documents, memos, reports, board packets, presentations, and correspondence consistently reflecting the ED's voice and CID's professional standards. 4.Coordinate the lifecycle of board meetings for the ED:
scheduling, packet compilation, material distribution, logistics, and follow-up action tracking. 5.Maintain organized and accessible digital and physical filing systems for the ED's office, including board records, grant files, contracts, personnel documents, and correspondence archives. 6.Conduct research and synthesize information into executive summaries, briefing memos, and talking points to prepare the ED for meetings, legislative visits, funder engagements, and public events. 7.Track and follow up on action items, commitments, and deadlines arising from the ED's meetings and projects ensuring consistent follow-through across all areas of responsibility. 8.Serve as a professional, mission-aligned point of contact for board members, funders, government agencies, peer organizations, elected officials, and community partners. 9.Provide administrative support for grant-related activities including organizing materials, tracking reporting deadlines, compiling data, and coordinating funder site visits or meetings. 10.Support HR adjacent administrative tasks such as onboarding paperwork, file maintenance, and policy distribution at the ED's direction, with clear separation from HR decision-making authority. 11.Assist with budget tracking and expense reporting for the ED's office; process invoices, reimbursements, and credit card reconciliations as directed. 12.Coordinate logistics for staff meetings, all-hands convenings, organizational trainings, community events, celebrations, and external engagements. 13.Maintain operations by following CID policies and procedures; identify and report needed changes to the ED. 14.Maintain consumer and organizational confidentiality in all aspects of the role, consistent with CID's legal and ethical obligations. 15.Contribute to team effort and organizational culture by modeling respect, inclusion, and the Independent Living philosophy in every interaction. 16.Other duties as assigned. Skills and Experience:
1.Minimum 2 years of progressively responsible executive administrative support experience. 2.Exceptional organizational skills with demonstrated ability to manage complex, dynamic calendars and competing priorities with minimal direction. 3.Outstanding written communication skills:
ability to draft polished correspondence, board materials, reports, and briefings in the executive's voice and style. 4.Strong verbal communication and interpersonal skills; comfortable engaging professionally with board members, funders, elected officials, and diverse community partners. 5.Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and video conferencing platforms (Zoom, Teams); ability to learn new programs on an ongoing basis. 6.Proven ability to handle sensitive, confidential, and legally significant information with absolute discretion and sound judgment . 7.Personal experience with individuals with disabilities and genuine commitment to the Independent Living philosophy and disability justice. 8.Ability to communicate effectively with a broad range of people including consumers, board members, community partners, and people from diverse backgrounds. 9.BA or equivalent experience. 10.Bilingual-bicultural a plus.
