We are looking for a warm, organized, and highly professional Office Administrator who enjoys helping families and creating a welcoming experience for everyone who walks through our doors. This role is a blend of front office hospitality, clinic coordination, and executive support for the clinic director. The person in this position plays an important role in shaping the experience families have with our practice. Our families are thoughtful, engaged parents who deeply value their children's development. The right person for this role will naturally communicate with warmth, professionalism, and attention to detail. We are looking for someone who enjoys creating order, anticipating needs, and helping a growing practice run smoothly. Responsibilities Front Office & Family Communication Answer phone calls and respond to email inquiries from prospective and current families Welcome families and create a warm, organized, and professional clinic environment Guide families through the intake and onboarding process Coordinate scheduling for evaluations and therapy sessions Communicate clearly and thoughtfully with parents, therapists, and schools when needed Scheduling & Clinic Operations Manage therapist schedules and room usage Monitor cancellations and help fill open appointment times Maintain organized client records in the electronic medical record system Track referrals and new client inquiries Support the smooth day-to-day operations of the clinic Executive Assistant Support Provide administrative support to the clinic director Assist with calendar coordination, scheduling, and follow-up communication Help organize documents, projects, and internal systems Assist with occasional local errands or logistical support when needed Support special projects that help the clinic operate efficiently and grow Qualifications We are looking for someone who: Is naturally warm, welcoming, and personable Communicates clearly and professionally with parents and children Has strong organizational and time-management skills Is comfortable managing multiple tasks while maintaining attention to detail Takes initiative and enjoys problem-solving Is comfortable learning and using technology and office systems Preferred experience: Administrative or medical office experience Experience supporting an executive or small business owner Experience in a pediatric, education, or healthcare setting
