Position Overview We are seeking a highly organized, proactive, and versatile Executive Assistant to support our leadership team and ensure the smooth operation of our office. Serving as the primary gatekeeper for leadership, this role is the backbone of our daily operations. The ideal candidate will blend high-level executive support with office management, travel and event planning, and HR/recruitment assistance. This is a dynamic role requiring exceptional multitasking abilities, strong communication skills, and a passion for fostering a positive, well-organized workplace.
Key Responsibilities Executive & Board Support Executive Support:
Manage and coordinate complex calendars for the CEO, serving as the primary liaison and gatekeeper for executive leadership.
Board & Leadership Logistics:
Coordinate logistics for board of directors and leadership meetings, including venue arrangements, agenda creation, and preparation of meeting materials/packets.
Leadership Coordination:
Collect, summarize, and distribute departmental reports, and facilitate scheduling for management meetings.
Recruitment & HR Support Recruitment Coordination:
Provide comprehensive administrative support for the recruitment lifecycle, including managing applicant tracking systems, scheduling interviews, administering candidate assessments, and maintaining job postings.
Event Planning & Internal Engagement Internal Communications:
Own and drive internal engagement initiatives, including managing the company newsletter, and recognition programs
Event Planning:
Lead the coordination of company-wide events, such as holiday parties and team lunches
Office & Facility Management Facility Logistics:
Manage office environment operations, including procurement of office and hospitality supplies, coordinating with vendors, and maintaining overall office tidiness and readiness.
Guest Hospitality:
Oversee corporate hospitality for office visits, including catering coordination and conference room preparation.
General Office Support:
Provide comprehensive daily office support, manage corporate communication accounts (such as mobile device programs), and maintain essential office equipment.
Travel & Compliance Program Travel Management:
Oversee the corporate travel program. Book and manage domestic and international travel for executives and others as needed, serve as the primary liaison for outsourced travel partners, and act as the lead for short notice travel support. Qualifications Proven experience as an Executive Assistant or in a similar high-level administrative role supporting C-level executives. Strong organizational and time-management skills, with the demonstrated ability to prioritize multiple complex tasks in a fast-paced environment. Extensive experience managing executive calendars, corporate travel arrangements, and event logistics. Familiarity with HR workflows, applicant tracking systems, and general office technologies. Experience with travel booking and managing a travel platform Excellent written and verbal communication skills A proactive, problem-solving mindset and a highly hospitable approach to office management. Compensation FLSA Status:
Full Time Exempt Salary Range:
$112,000- $127,400
DOE Comprehensive Benefits:
