Job Description
Job Summary We are seeking a highly organized and proactive Executive Assistant to provide comprehensive support to our CEO. This dynamic role involves managing projects, handling correspondence, and ensuring smooth daily operations within a fast-paced environment. The ideal candidate will demonstrate exceptional communication skills, attention to detail, and the ability to juggle multiple priorities with enthusiasm and professionalism. Duties Manage the CEO's meetings, appointments, and travel arrangements using tools like Microsoft Outlook Calendar and Google Workspace. Coordinate internal and external meetings, including booking venues, preparing agendas, and distributing materials. Organize and maintain filing systems—both digital and physical—ensuring quick retrieval of important documents. Assist with event planning for company functions, board meetings, or special events from logistics to execution. Conduct office management duties such as ordering supplies, and managing office equipment. Facilitate project coordination by tracking deadlines, follow-ups, and deliverables across teams. Perform clerical tasks such as data entry, photocopying, filing, and proofreading correspondence to uphold high standards of accuracy. Manage personal assistant responsibilities for the CEO as needed, including personal appointments or errands coordination. Qualifications Proven experience as an executive assistant or in a similar administrative role supporting senior leadership. Strong organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment. Excellent written and verbal communication skills with professional phone etiquette. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs), and familiarity with Microsoft Outlook Calendar. DocuSign for document signing workflows. Demonstrated ability to handle confidential information discreetly and professionally. Exceptional typing speed along with transcription skills; attention to detail is essential for proofreading documents. Ability to coordinate multiple projects simultaneously while maintaining a positive attitude.
