Job Description

Executive Assistant - Communications Department Overview The Executive Assistant provides high-level administrative, clerical, and organizational support to the Communications Department for our client. This role is critical in ensuring efficient daily operations, timely response to inquiries, and seamless coordination across teams and leadership. Key Responsibilities Provide complex and confidential administrative support to senior leadership, assessing priorities and taking appropriate action with minimal direction. Conduct research, evaluate needs, and prepare supporting materials. Manage and coordinate complex scheduling, including meetings, events, travel, and conferences. Maintain proactive calendar oversight, coordinate pre-briefings, and prepare meeting agendas and materials. Serve as a primary point of contact for high-volume information requests and communications. Respond to routine and complex inquiries with professionalism, accuracy, and timeliness while de-escalating situations as needed. Develop and produce high-quality business communications, including newsletters, correspondence, reports, presentations, charts, and meeting minutes. Ensure accuracy, clarity, and adherence to branding standards through thorough proofreading. Prepare reports, spreadsheets, and presentations by gathering and analyzing relevant data and research. Provide administrative support to boards, commissions, and advisory groups. Assist in planning and coordinating special events and departmental projects. Required Skills Administration Email and calendar management Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) Customer service Qualifications Strong organizational and planning skills, with the ability to manage multiple priorities effectively Excellent interpersonal and customer service skills, with a high level of professionalism and attention to detail Proficiency in Microsoft Office and data management systems Ability to work independently, exercise sound judgment, and apply problem-solving and conflict resolution skills Strong written and verbal communication skills Research and analytical skills, with the ability to clearly present information Proven ability to build relationships with internal and external stakeholders Ability to maintain confidentiality in a fast-paced environment Reliable attendance and punctuality Job Type & Location This is a Contract position based out of Colorado Springs, CO. Pay and Benefits The pay range for this position is $20.00 - $30.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
