Job Description

We are looking for an Executive Assistant to support a senior operations leader and partner closely with multiple teams in Colorado Springs, Colorado. This contract position with potential for a permanent role is ideal for someone who is highly organized, experienced, and comfortable balancing executive support with project coordination in a fast-moving sports environment. The role calls for sound judgment, attention to detail, and the ability to manage sensitive information while keeping priorities on track.
Responsibilities:
  • Support a senior operations executive with daily administrative needs, priority management, follow-up tracking, and cross-functional communication.
  • Coordinate schedules, meetings, and event logistics, including room arrangements, agendas, materials, calendar invitations, and collaboration with internal support teams.
  • Arrange business travel by handling airfare, lodging, ground transportation, and itinerary details for leadership and related activities.
  • Monitor departmental budgets and financial activity by tracking expenses and revenue, preparing updates, and working with Finance on revisions when needed.
  • Process expense reports, contracts, invoices, approvals, and vendor documentation while helping maintain strong external partner relationships.
  • Prepare high-quality business materials such as correspondence, presentations, reports, contracts, and meeting documentation for executive and board-level audiences.
  • Record meeting notes, distribute follow-up items, and maintain organized electronic and physical records, including secure handling of confidential files.
  • Maintain departmental information across collaboration tools such as SharePoint and Teams and provide broader administrative support to the operations group as needed.
  • Work closely with other executive support team members to provide coverage, improve workflows, and contribute to special projects and organizational initiatives.
