Executive Assistant Ultimate Staffing Services - 3.8 Denver, CO Job Details Contract $90,000 - $110,000 a year 1 day ago Qualifications Executive administrative support Full Job Description Position Overview We are seeking an experienced Executive Assistant to support senior executive leadership. This role requires a highly organized, proactive professional who can operate independently while managing competing priorities. The Executive Assistant will work closely with leadership to coordinate schedules, support board-related activities, manage travel, and assist with high-level events and projects. This position is based in Denver, Colorado, and collaborates with a broader administrative support team, reporting into a senior operations leader within people/administration functions. Responsibilities Executive Support Oversee complex executive calendars, resolving conflicts and aligning priorities across multiple stakeholders. Proactively manage shifting requests and competing demands to ensure alignment with leadership objectives. Prepare, edit, and review presentations, communications, and documents with a high level of accuracy and professionalism. Manage expenses, including company card transactions, expense reporting, and tracking approvals. Attend leadership meetings and offsites to coordinate logistics and ensure administrative follow-through. Act as a key point of contact for internal and external stakeholders. Provide occasional personal support to executive leadership as needed. Board Support Serve as a liaison to the Board of Directors. Coordinate with internal leadership and external administrative teams to plan board meetings on an ongoing schedule. Organize meeting logistics, including onsite coordination and preparation. Support board member travel arrangements and related expense reporting. Maintain board documentation to ensure accuracy and timely updates. Travel & Logistics Arrange domestic and international travel, including flights, lodging, and transportation. Provide real-time support for itinerary changes or travel disruptions. Build detailed travel plans for conferences, offsites, and multi-stop itineraries. Meetings & Events Plan and execute executive-level events, including venue coordination, catering, and onsite logistics. Support both smaller initiatives and larger projects such as conferences or company events. Operational & Administrative Support Partner with other administrative professionals to ensure consistent, high-quality support across leadership. Anticipate administrative needs, prioritize tasks, and recommend solutions to improve processes. Maintain organized records and files in line with company policies and compliance standards. Adhere to internal policies related to expenses, security, and overall compliance. Assist with additional projects or assignments as needed. Qualifications Bachelor's degree preferred (business, communications, or related field). 5+ years of experience supporting senior executives, ideally including C-suite and board exposure. Knowledge, Skills, and Abilities Strong organizational and detail-oriented mindset. Excellent time management and prioritization skills. Ability to handle confidential information with discretion. Comfortable working both independently and collaboratively in a fast-paced environment. Strong written and verbal communication skills. Proficiency with standard office software (Word, Excel, PowerPoint, Outlook). Travel Requirements Light to moderate travel (approximately up to 10%) for meetings, events, and leadership support activities.
