Personal Executive Assistant Job Description:
We are seeking a Personal Executive Assistant to support an entrepreneur in the wellness industry. This role demands exceptional organizational abilities, outstanding communication skills, versatility, empathy, and the ability to excel in a fast-paced and dynamic environment. This is a no-drama environment. Must have attention to detail, be highly independent, anticipate needs before being asked, providing end-of-day updates consistently, completing task lists, and operational follow-through without prompting. This candidate must be able to work without personal distractions and operate at high level of executive function, discretion, anticipation, organization, and independent execution. The ideal candidate for this position is: highly proactive operationally sharp detail-oriented calm under pressure resourceful organized fast-moving discreet capable of managing both household and executive support responsibilities with minimal oversight.Responsibilities :
Coordinate and manage the principal's calendar, adeptly scheduling appointments, meetings, and events to harmonize professional and personal commitments. Focus on supporting the Principal to keep her on task, organizing her time, and supporting her personal daily needs to optimize her time management. Daily communication with the Household Manager and office staff. Daily recap sent to the Principal daily. Perform Concierge duties such as keeping addresses, birthday lists, special occasions list, cards, gift buying, gift wrapping, flowers, filling prescriptions, doctors names/numbers, keeping password lists, etc. Skillfully address scheduling conflicts, prioritize appointments, and ensure all obligations are promptly fulfilled. Assist in arranging travel logistics, encompassing flights, accommodations, and transportation, for both business and personal excursions and creating travel itineraries. Collaborate on project management tasks, liaising with team members, monitoring deadlines, and guaranteeing project objectives are met. Manage email communications, skillfully filtering and responding to inquiries on behalf of the principal, upholding accuracy and confidentiality. Answering personal cell phone for the Principal. Prepare food and beverage for lunch and snacks during the day for the Principal. Act as a liaison for external stakeholders, embracing a professional and congenial demeanor in interactions with clients, partners, and associates. Forge seamless coordination and communication with household staff, contributing to streamlined operations. Developing systems to aid in personal organization. Collaborate within a dynamic team to harmonize family events, appointments, and children's activities, seamlessly integrating them into the principal's schedule. Embrace a flexible approach, ready and willing to provide support as required at the family's residences and other estates. Extend support for childcare responsibilities, including driving to soccer practices, school, and similar engagements as needed. Able to assist with some personal laundry as requested. Closet management for personal clothing closets and makeup stations. Handle sensitive and confidential information with utmost professionalism and discretion, reflecting unwavering integrity in all actions. Know and execute Principal's Standards (likes and dislikes) in the home and in the office. Stay updated on current COVID vaccination guidelines and willing to provide proof of vaccine. Assist with packing and unpacking. 24. Package management for all items ordered online or purchased in store. 25. Dog care in the office. (water, feeding, breaks)Requirements:
