Role Description The Senior Executive Assistant is a full-time, on-site role based in Denver, CO, providing high-level administrative and organizational support to senior leadership. This role manages complex calendars, schedules meetings, coordinates travel, prepares expense reports, and ensures that executives are well-prepared for internal and external engagements. The Senior Executive Assistant will draft and edit correspondence, presentations, and reports, maintain confidential records, and serve as a primary point of contact between executives and internal/external stakeholders. Daily responsibilities also include monitoring priorities, managing workflows, organizing executive meetings and board-related logistics, and supporting special projects as needed. The person in this role is expected to exercise sound judgment, maintain strict confidentiality, and anticipate needs in a fast-paced, dynamic environment. Key Responsibilities CEO Operations & Calendar Management
  • Manage and protect the CEO's calendar, proactively coordinating a dynamic and frequently changing schedule across multiple time zones
  • Serve as the primary gatekeeper, managing the flow of information, requests, and access to the CEO to ensure time is spent on the highest-value activities
  • Arrange and manage complex domestic and international travel itineraries Strategic Meeting & Board Support
  • Coordinate logistics and materials for board meetings, committee sessions, and annual shareholder meetings, including preparation and distribution of board packages
  • Attend key meetings as needed to capture action items and drive follow-up across departments
  • Prepare briefing materials, agendas, status updates, and follow-up documentation for internal and external engagements Stakeholder & Communications Support
  • Act as a liaison between the CEO's office and internal teams, board members, investors, government officials, and strategic partners
  • Draft, edit, and proofread correspondence, remarks, talking points, and presentation materials on behalf of the CEO
  • Coordinate logistics for investor relations events, conferences, and communication initiatives
  • Monitor the CEO's inbox and help prioritize and manage responses Confidential & Cross-Functional Coordination
  • Handle sensitive matters-including financing, partnerships, and strategic initiatives-with the highest level of discretion
  • Work across departments to ensure CEO priorities and action items are being tracked and executed
  • Leverage AI tools (e.g., ChatGPT, scheduling automation, project dashboards) to increase executive productivity and streamline workflows
  • Organize digital and physical filing systems; assist with document preparation and records management
  • Provide light administrative support to other members of the executive team as capacity allows Qualifications
  • Minimum 10 years of experience supporting C-level executives, with direct CEO support strongly preferred
  • Demonstrated experience managing board-level communications, materials, and meeting logistics
  • Highly proficient with Microsoft Office Suite and collaboration tools such as Zoom, Slack, Asana/Trello, and DocuSign
  • Experience using or willingness to learn AI tools to improve workflow and communication
  • Strong written and verbal communication skills with the ability to draft polished correspondence and materials
  • Proven ability to handle confidential and material nonpublic information with the utmost discretion
  • Ability to represent the CEO's office professionally with internal and external stakeholders at all levels
  • Exceptional attention to detail, follow-through, and organizational skills
