6/19/2026 The Executive Assistant position is responsible for confidential, complex administrative support functions of broad scope and significance for the Executive Director, Board of Directors, and management team. This position provides day-to-day operational support; acts as a liaison with District departments, staff, outside agencies and the general public.
Job Duties:
Perform a wide variety of confidential, technical and administrative support duties for the Executive Director, Board members and management team; prepare, coordinate and organize multiple reports, contracts, correspondence, minutes of meetings, various statistical and budgetary related documents and special projects. Establish and maintain effective working relationships with other employees, agencies, and the public. Respond to, internal and external, inquires for information and resolves complaints in a courteous manner, providing information within the area of assignment or refers to appropriate individual. Coordinate Board agenda; prepare board packets and distribute in an accurate and timely manner. Attend Board meetings; record proceedings and prepare minutes for official approval; maintain required records, post and distribute appropriate Board communications to Board Members, staff, and the Community as required by law. Coordinate committees and advisory board activities with District staff and citizen participants; notify interested and affected parties. Oversee, prepare and direct various legal responsibilities by responding to open records requests, submitting required legal filings to governmental agencies, and preparing and submitting updates and revisions for the Board Policy manual. Manage annual compliance of special district statutory deadlines as required by state statute. Serves as the Designated Election Official for Board of Director's elections, coordinated elections and special elections. Manage contract compliance for the District by maintaining and distributing District's standard contract documents; work with District legal counsel on required updates and approvals; create and maintain contract database; ensure all contracts, easements, addendums and amendments adhere to the District's standard terms and conditions; and present variations to the Executive Director for approval. Hire, train, supervise and evaluate Mail Courier position. Attend work on a regular, reliable and punctual basis.
Experience and Skills:
Associate's degree in Public Administration, Business, or directly related field and five (5) years experience as an office manager or administrative/executive assistant; or any equivalent combination of acceptable education and years of experience. Must possess and maintain a valid Driver's License or the ability to obtain one within thirty (30) days of employment. Must be insurable by the District carrier at the onset and for the duration of employment. Knowledge of modern office procedures, methods and general office equipment (computer, copier, fax, phone, etc.). Proficiency with applicable computer software applications (Word, Excel, Outlook).
