Full-Time Position Summary We are seeking a highly organized, proactive, and trustworthy Executive Personal Assistant & Household Manager to provide comprehensive support for a busy executive and family. This unique role combines executive-level business support, office oversight, financial administration, and household management responsibilities. The ideal candidate is detail-oriented, enjoys managing multiple priorities, anticipates needs before they arise, and is comfortable transitioning between professional office responsibilities and family logistics. This position plays a critical role in ensuring the smooth operation of both business and household functions. Key ResponsibilitiesExecutive & Business Support Manage executive calendar, appointments, and scheduling. Coordinate internal and external meetings, including agendas, materials, and follow-up action items. Screen and manage emails, phone calls, and correspondence. Prepare reports, presentations, and business documents. Assist with special projects and strategic initiatives. Coordinate travel arrangements, itineraries, and accommodations. Serve as liaison between the executive and staff, vendors, clients, and business partners. Office Oversight & Administration Oversee daily office operations and ensure administrative efficiency. Manage vendor relationships and service contracts. Maintain office supplies, equipment, and organization. Develop and improve administrative systems and processes. Coordinate with external professionals, including accountants, attorneys, and consultants. Track deadlines, renewals, licenses, and business compliance requirements. Financial Management Manage accounts payable and receivable. Reconcile bank and credit card statements. Monitor business and household budgets and expenditures. Prepare financial reports and summaries for executive review. Coordinate with bookkeeping and accounting professionals. Process invoices, expense reports, and vendor payments. Maintain confidential financial records and documentation. Household Management ResponsibilitiesFamily Scheduling & Logistics Manage household calendars and family schedules. Coordinate children's activities, appointments, camps, and events. Ensure transportation plans are organized and communicated. Assist with planning family travel and special events. Child Transportation Safely transport children (ages 13, 12, and 8) to and from: School activities Sports practices Games and tournaments Extracurricular activities Appointments as needed Household Operations Grocery shopping and household inventory management. Meal planning and light meal preparation. Laundry, organization, and household upkeep. Coordinate household vendors and service providers. Manage household errands and special projects. Maintain organization of common household areas. Personal Assistance Handle personal errands and appointments. Coordinate gifts, reservations, and family events. Assist with seasonal planning, holidays, and special occasions. Anticipate executive and family needs and proactively provide solutions. QualificationsRequired 5+ years of executive assistant, personal assistant, household manager, or related experience. Exceptional organizational and time-management skills. Strong financial and bookkeeping experience. Proficiency in Microsoft Office Suite and Google Workspace. Excellent written and verbal communication skills. Valid driver's license and clean driving record. Ability to maintain strict confidentiality. Ability to multitask and prioritize in a fast-paced environment. Preferred Experience supporting a business owner or executive. Background in office management or operations. Experience managing household staff and vendors. QuickBooks or bookkeeping software experience. Event planning and travel coordination experience.
