Job Description:
Position Summary This is a full-time on-site Executive Assistant role located in Greenwood Village, CO. The Executive Assistant provides administrative and operational support to senior executive leadership, primarily the Company's Chief Executive Officer. This position is responsible for managing executive calendars, coordinating meetings and travel, preparing business communications and presentations, and supporting day-to-day executive office operations. This role requires exceptional organizational skills, professionalism, discretion, and the ability to anticipate needs in a fast-paced environment. Experience supporting executive leadership within the oil and gas industry is a plus. Essential Duties & Responsibilities Executive Support Provide high-level administrative support to executive leadership, including complex calendar management, meeting coordination, travel arrangements, and expense reporting. Provide administrative support to multiple departments as needed, assisting with special projects, coordination efforts, scheduling, and day-to-day operational needs across the organization. Manage and prioritize executive schedules, ensuring efficient use of time and resources. Coordinate domestic travel, including flights, accommodations, transportation, and detailed itineraries. Prepare presentations, reports, correspondence, and other business documents. Screen and prioritize communications and act as a liaison between executives and internal and external stakeholders. Support executive meetings by preparing agendas, handling meeting logistics, gathering materials, taking notes, and tracking action items. Handle confidential and sensitive information with the highest degree of discretion. Assist with special projects and strategic initiatives as assigned. Board & Leadership Meeting Coordination Coordinate Board of Directors and committee meeting logistics, including scheduling, meeting materials, and travel arrangements for Board members as needed. Manage Board meeting calendars and support the preparation and distribution of meeting materials through Diligent. Assist with meeting agendas, attendance tracking, and follow-up action items. Serve as a point of contact for Board members regarding meeting logistics and travel coordination. Tracking of expenses incurred by BOD members and coordinating expense reimbursement. Administrative & Operational Support Coordinate leadership team meetings, off-site events, and corporate functions. Assist with budget tracking, invoice processing, and expense management. Maintain organized electronic and physical filing systems. Develop and improve administrative processes to enhance efficiency and effectiveness. Serve as occasional backup for other office administrative duties as needed. Qualifications Required 7+ years of Executive Assistant experience supporting C-suite executives or senior leadership teams. Proven experience managing complex calendars, travel arrangements, and executive communications. Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams. Exceptional organizational, time-management, and multitasking skills. Strong written and verbal communication skills. Ability to work independently, exercise sound judgment, and maintain confidentiality. Preferred Experience in oil and gas, energy, or related industry. Experience supporting multiple executives in a corporate environment. Familiarity with Board meeting administration and executive-level event planning. Experience using Diligent or similar Board portal software. Compensation & Benefits Annual Salary Range:
