This is not a traditional administrative assistant role. It is a high-trust, high-context operating role for someone who can manage executive logistics, coordinate priorities, prepare materials, track follow-ups, handle sensitive communications, and step into varied responsibilities as the company grows. The right person is organized, calm under pressure, extremely discreet, and comfortable wearing many hats. You may be managing the CEO's calendar in the morning, helping prepare investor materials in the afternoon, coordinating a vendor or legal follow-up, and organizing internal operating systems by the end of the day. This role is ideal for someone with senior executive assistant experience who wants to operate closer to the center of company-building, or for someone with chief-of-staff potential who is still willing to do the detailed execution work required in an early-stage startup. This position requires very high standards of performance. The right candidate should be comfortable with long hours during critical company-building periods, urgent deadlines, shifting priorities, and a founder-led environment where speed, accuracy, follow-through, and judgment matter every day. This is a demanding role, but it offers unusually high exposure, responsibility, trust, and upside for someone who thrives in that environment. Responsibilities Executive Support & Calendar Management Manage the Founder & CEO's calendar, scheduling, travel, meetings, and follow-ups. Prioritize competing requests and protect the CEO's time. Prepare meeting agendas, briefing notes, and post-meeting action items. Track commitments, deadlines, and open loops across investors, advisors, vendors, legal counsel, and internal projects. Founder's Office Operations Help organize the company's operating cadence, including weekly priorities, task tracking, documentation, and project follow-through. Coordinate across legal, finance, banking, vendors, contractors, design partners, and future team members. Maintain organized records for key company workflows, including fundraising, hiring, vendor management, office setup, and investor communications. Build simple systems and processes where none exist yet. Help create structure in a high-speed environment where priorities can change quickly. Communications & Materials Draft, edit, and polish emails, memos, meeting notes, investor follow-ups, vendor communications, and internal documents. Help prepare and refine presentations, one-pagers, briefing documents, and operational materials. Ensure communications are clear, professional, accurate, and aligned with the company's tone. Maintain strong attention to detail even when timelines are compressed. Project Coordination Own special projects from start to finish when needed. Coordinate website, branding, office, recruiting, event, travel, and vendor-related workflows. Keep projects moving without needing constant supervision. Identify risks, delays, missing information, or unresolved dependencies before they become problems. Follow through relentlessly and make sure important tasks do not fall through the cracks. Confidentiality & Judgment Handle sensitive company, investor, legal, financial, and personnel information with absolute discretion. Exercise sound judgment when communicating on behalf of the Founder & CEO. Know when to act independently and when to escalate. Remain calm, professional, and clear-headed under pressure. What We're Looking For Required Skills 5+ years of experience as a senior executive assistant, executive operations partner, founder's associate, chief-of-staff associate, or similar high-trust role. Excellent written and verbal communication skills. Strong calendar, scheduling, prioritization, and follow-up discipline. High attention to detail and strong organizational judgment. Ability to manage confidential information with discretion. Comfortable operating in a startup environment where priorities shift quickly. Strong working knowledge of tools such as Microsoft 365, Outlook, Google Workspace, Notion, Slack, Zoom, DocuSign, and common project-management tools. Ability to work independently, anticipate needs, and close loops without being reminded. Ability to perform at a high level during long, intense, deadline-driven work periods. Strong stress management, resilience, and emotional maturity. Preferred Skills Experience supporting a founder, CEO, investor, attorney, physician executive, or senior operator. Experience in startups, technology, AI, software, venture-backed companies, law firms, finance, healthcare, or consulting. Ability to help create polished decks, documents, memos, and external-facing materials. Comfort coordinating with investors, attorneys, accountants, vendors, and senior external stakeholders. Strong research, vendor comparison, and due-diligence skills. Basic familiarity with startup operations, fundraising, hiring, corporate setup, or SaaS businesses. Experience in a high-performance environment where expectations, urgency, and accountability are consistently high. Traits That Matter We care more about capability than title.

You do not like owning follow-up and accountability. You are not comfortable handling confidential or sensitive information. You prefer strategy work but do not want to do execution. You are looking for a predictable 9-to-5 role. You are uncomfortable with high expectations, urgent deadlines, or intense work periods. You do not manage stress well.
