Lansdowne, VA Team Overview :
In this role, you will provide executive administrative support to the SVP of Strategic Research and Innovation & Special Counsel to the President (a member of the firm-wide Executive Leadership Team) as well as the VP of Strategic Research and Innovation. This position requires a strong commitment to teamwork, organization, efficiency, continuous professional improvement, confidentiality, and an overall standard of excellence as you support these two different leaders.
Key Responsibilities :
Monitor, maintain, and manage complex calendars and schedules, as well as high-volume communications, including e-mail, Outlook contacts, phone calls, and voice messages. Plan, book, and coordinate all aspects of domestic and foreign travel, including flights, accommodations, ground transportation, visas, and ETAs. Prepare, process, and submit monthly budget reports, expense reports and reimbursement requests. Submit sponsorship payments for internal processing and track and communicate with any event-related attendees and the sponsored organizations. Support the preparation of speeches and presentations, including editing documents and revising PowerPoints, to be used with external audiences or Board members. Support all aspects of organizing and managing academic colloquiums, symposiums, and salons, including coordinating with the Events Team. Maintain organized electronic files for reports, speeches, presentation materials, sponsorships, academic colloquiums and symposiums, and other Strategic Initiatives documents. Travel to Strategic Research and Innovation events to assist with logistics, troubleshooting, and presentation preparation as needed. Minimum Qualifications Bachelor's degree with 5+ years of experience as an Executive Assistant or similar role reporting directly to senior management within a fast-paced and dynamic organization. Demonstrated proficiency in Microsoft Office, including Word, Excel, Outlook, and PowerPoint Excellent verbal, written, and interpersonal communications skills and the ability to build relationships with both internal and external stakeholders. Strong attention to detail and proven project coordination skills. Proactive planner, self-directed, and takes initiative to solve problems and deliver results with minimal supervision. Handle sensitive and confidential communications and information with the utmost discretion. Ability to travel as needed. Preferred Qualification Experience using SharePoint, Concur, and Airtable is a plus Use of or familiarity with generative AI tools, such as Claude and/or Notebook LM.
