Job Description:
We are seeking a highly organized, proactive, and professional Executive Administrative Assistant to support the President of our growing family-owned company. This role is ideal for someone who thrives in a fast-paced environment, enjoys keeping schedules and priorities organized, and takes pride in being the go-to person who keeps operations running smoothly. The primary focus of this position is executive calendar management, scheduling coordination, and administrative support, while also assisting with day-to-day office operations and special projects. Key Responsibilities Manage and maintain the President's Outlook calendar, including scheduling meetings, appointments, and recurring events Coordinate and prioritize changing schedules while ensuring efficient time management Arrange travel accommodations, itineraries, and logistics as needed Prepare meeting agendas, documents, presentations, and follow-up notes Screen calls, emails, and correspondence with professionalism and confidentiality Coordinate meetings with internal staff, vendors, and clients Assist with clerical and administrative tasks for the finance and operations teams Support employee recognition initiatives, company events, and office activities Maintain organized digital and physical filing systems Handle special projects and other administrative duties as assigned Qualifications 3+ years of administrative or executive assistant experience preferred Strong calendar management and scheduling experience required Proficiency in Microsoft Outlook, Word, Excel, and Adobe Excellent organizational, multitasking, and time management skills Strong written and verbal communication skills Ability to maintain confidentiality and professionalism Detail-oriented with the ability to anticipate needs and solve problems independently Comfortable working in a collaborative, family-oriented environment If you are dependable, organized, and enjoy helping executives stay productive and focused, we would love to hear from you.
