Job Summary (Primary function) The Executive Assistant is responsible for handling a wide range of administrative and executive support related tasks. Essential Functions of the Job (Key responsibilities) Serve as support to other administrative professionals in the company. Copying as assigned. Maintain filing system. Prepare FedEx shipments. Order supplies. Process membership renewals; order journal articles. Assist in presentation preparation. Welcome and introduce new hires to the team. Process invoices. Make travel arrangements, prepare travel itineraries, process meeting registrations, and prepare expense reports. Answer phones and direct all incoming calls to appropriate party promptly and efficiently. Prioritize and manage multiple projects simultaneously, and follow through on issues in a timely manner. Responsible for heavy calendar management, requiring interaction with both internal and external executives and assistants, to coordinate a variety of complex meetings. Qualifications (Minimal acceptable level of education, work experience, and competency) Experience working within a Pharmaceutical/Biotech company is beneficial but not required. Possess the ability to interact with team members (at all levels) in a dynamic environment, under pressure, remaining adaptable, proactive, resourceful, and efficient, with a high level of professionalism and confidentiality. Must be highly organized, adaptable, and enjoy the administrative challenges of supporting a dynamic group of people and programs. Experience coordinating travel arrangements for team members or management. Proficiency in office productivity software, such as word processing, spreadsheets, presentations, and email applications. Experience supporting teams with the creation of PowerPoint presentations. Excellent written and verbal communication skills with a strong attention to detail are essential. Relevant experience supporting at the executive level is preferred, but not required.
