Job Description

Executive Assistant - Customer Service & Planning and Digital Transformation & Productivity, Spain What do you become a part of: This role will be supporting two VP's in Customer Service & Planning and Digital Transformation & Productivity within Central Customer Services and Supply Chain. Responsible for providing a high quality of Executive Assistant support. This is a busy, challenging and complex position requiring the EA to be able to multi-task, prioritise requests and work to tight deadlines. Also involves working closely with other Executive Assistants within the business who are located across various countries.
What you will do:
  • Responsible for arranging and booking all travel on a frequent basis, ensuring transfers to and from airport /hotel, hotel arrangements
  • Reviewing on a daily basis the VP's schedule, meeting arrangements and ensuring meeting requests are dealt with promptly
  • Assisting with the planning and organisation of Customer Service & Planning team events
  • Organize and coordinate schedule of meetings and appointments for the VP
  • Ensure accurate and timely authorisation/process of invoices, expenses, holiday requests in appropriate systems
  • Create and submit expenses for approval on a monthly basis
  • Creation and management of Purchase Orders / CCEBUY What we expect from you:
  • Significant experience in an administrative role at Executive level and strong project management skills.
  • Ability to communicate effectively, organize and plan your time efficiently, anticipate needs, and prioritize work to deadlines.
  • Ability to take initiative, willingness to adapt, ability to relate easily to others and your sense of confidentiality are critical success factors.
  • Proficient in the use of MS Office, including Excel, Word & PowerPoint
  • Attention to detail and problem solving skills
  • Excellent written and verbal English communication skills. Additional languages an advantage but not essential
  • Excellent planning and organisation skills
  • Cultural awareness
  • Must be flexible and able to work in a demanding environment
  • Experience working in a global organization an advantage
  • Ability to maintain confidentiality and handle sensitive information with discretion
