Overview We are seeking a proactive and highly organized Executive Assistant to join our dynamic team. This vital role offers the opportunity to support executive leadership by managing a wide range of administrative and office management tasks with energy and precision. Bilingual proficiency is a plus, enabling effective communication across diverse teams and clients. Responsibilities Provide comprehensive administrative support to executives, including calendar management, travel arrangements, and meeting coordination. Handle incoming calls using multi-line phone systems with professionalism and excellent phone etiquette. Manage front desk operations, greeting visitors, directing inquiries, and maintaining a welcoming environment. Perform data entry, filing, and document proofreading to ensure accuracy and organization of all records. Utilize office management software such as Quickbooks to prepare reports, presentations, and correspondence. Assist with bookkeeping tasks using QuickBooks or similar accounting software to support financial recordkeeping. Support office operations by managing supplies inventory, coordinating repairs, and overseeing general clerical duties such as photocopying and mail distribution. Experience Proven experience as an executive assistant or in an administrative role within an office environment. Demonstrated proficiency with computer literacy including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry tools. Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced setting. Excellent communication skills both written and verbal; Must Speak English, bilingual abilities are preferred Experience handling multi-line phone systems, front desk operations, and customer service interactions. Prior experience in office management or clerical roles such as medical or dental receptionist is advantageous.
