This pivotal role is responsible for maximizing executive effectiveness and operational flow by expertly managing complex schedules, triaging high-priority communications, coordinating comprehensive travel logistics, and maintaining absolute discretion with sensitive corporate information. The EA functions as a central liaison and organizational gatekeeper across the enterprise.
Core Responsibilities Executive Scheduling & Time Management:
Strategically manage and prioritize dynamic calendars across multiple time zones, resolving all scheduling conflicts proactively.
Professional Correspondence & Communication:
Manage high-volume inbound and outbound communications, including screening and directing calls, visitors, and correspondence. Draft and refine confidential reports, internal memos, and executive-level presentations.
Travel & Event Coordination:
Coordinate detailed domestic and international travel, including all lodging reservations and creation of comprehensive itineraries. Organize and manage all logistics for company retreats and board meetings, including agenda coordination, material preparation, and AV/technology setup. Additionally, coordinate board meetings, prepare agendas, and draft and circulate official minutes.
Financial & Project Administration:
Track and reconcile daily business expenses, preparing accurate financial reports or budget summaries. Support executive initiatives by tracking project deadlines, managing pending action items, and executing ad-hoc projects.
Liaison & Corporate Operations:
Act as the primary point of contact between senior executives, government agencies, external auditors, and banking partners. Maintain corporate office operations, including supporting the President and Executive team, distributing mail, and directing phone calls.
Confidentiality & Compliance:
Maintain the highest level of professional conduct, exercising strict discretion and sound judgment when handling sensitive corporate and personnel information. Ensure all corporate records, statutory filings, and business licenses adhere to regulatory requirements.
Required Competencies & Qualifications Experience & Education:
A minimum of 4-6+ years of specialized administrative experience supporting upper management, or corporate secretarial experience, is typically required.
Technical Mastery:
Advanced proficiency in office productivity suites (e.g., Google Workspace, Microsoft Office) and relevant tools, including legal entity management software, CRM systems, and document management systems.
Organizational Excellence:
Proven ability to manage shifting priorities and track intricate details, ensuring reliable follow-through with minimal oversight.
Strategic Proactivity:
Demonstrated foresight in anticipating executive needs and taking decisive initiative without explicit direction.
Communication Acumen:
Exceptional written and verbal communication skills, characterized by professional clarity and tact, and a high degree of discretion when handling sensitive financial and legal information.
Pay:
$50,000.00 - $60,000.00 per year
