POSITION SUMMARY
The Lawyer Referral Coordinator / Executive Administrative Assistant supports the Association by serving as a primary point of contact for Lawyer Referral Service callers, walk-ins, attorneys, and event participants. This position is responsible for coordinating LRS intake and referrals, maintaining accurate referral and membership records, assisting the Executive Director with administrative needs, and helping ensure professional, efficient day-to-day office operations.
ESSENTIAL FUNCTIONS - LRS COORDINATOR
  • Promptly answer incoming LRS telephone calls and email inquiries during advertised office hours.
  • Greet walk-ins, offer assistance, and conduct intake for LRS inquiries.
  • Interview callers and walk-ins to obtain basic facts, complete conflict-check procedures, and explain the LRS fee structure.
  • Secure and process all referral payments, including credit-card, check, or cash payments, before releasing attorney information.
  • Identify the appropriate panel attorney based on practice area, geography, and rotation lists.
  • Communicate with attorneys to confirm changes in their practice areas, availability, or related information.
  • Provide the caller with the attorney's name and phone number, instruct the caller to schedule a consultation, and email the referral information to both the client and attorney.
  • Maintain LRS software reports regarding overdue payments and matter updates.
  • Coordinate with the Executive Director on LRS attorney membership matters, including applications, renewals, insurance verification, and panel assignments.
  • Track calls and emails involving areas where referrals cannot be made to help identify opportunities to build LRS membership.
  • Research opportunities to market LRS to the community at large.
ESSENTIAL FUNCTIONS - EXECUTIVE ADMINISTRATIVE ASSISTANT
  • Coordinate incoming and outgoing mail and deliveries.
  • Oversee copier and printer upkeep and help maintain orderly shared office spaces.
  • Monitor kitchen and office-supply levels and submit needs lists to the Executive Director for purchase approval.
  • Assist with basic office procedures, including file retention and general organization.
  • Assist with event setup and teardown, including tables, chairs, signage, and nametags.
  • Welcome participants at events, mark attendees as present, and distribute nametags.
  • Assist with mass mailings, event packets, and organization-wide events.
  • Provide general administrative support to the Executive Director as needed.
  • Perform other duties as assigned to support efficient Association operations.
EDUCATION AND EXPERIENCE REQUIREMENTS
  • High school diploma or equivalent required.
  • Prior customer service or legal services experience strongly desired.
  • Proficiency in Microsoft Office required.
  • Exceptional organization, attention to detail, and time-management skills, with the ability to manage multiple deadlines.
  • Bilingual ability preferred.
PHYSICAL REQUIREMENTS
  • Prolonged periods of sitting, computer use, and telephone use.
  • Occasional light to moderate lifting of event supplies, including furniture.
WORKING CONDITIONS AND SCHEDULE
  • Professional office environment requiring excellent interpersonal, organizational, verbal, and written communication skills.
  • Must handle confidential information with discretion.
  • Standard weekday office hours are Monday through Friday, 8:00 a.m. to 5:00 p.m., with a one-hour lunch break from 12:00 p.m. to 1:00 p.m.
  • Occasional overtime may be required for lunchtime events, evening assignments, weekend events, or other Association needs, subject to applicable overtime or comp-time procedures.
Pay:
$17.00 - $20.00 per hour
