Jacksonville, Florida Office and Clerical 62050 Overview Under the direction of the manager, coordinates the day-to-day administrative support activities in the Department/Division. Organizes and performs all office and clerical support services within the Department/Division. May act as an intermediary for the department. Responsibilities Organizes and performs all office and clerical functions including, but not limited to, setting appointments, scheduling meetings, answering the telephone, taking and transcribing meeting minutes. Organizes and maintains Department records, reports, minutes to meeting and other related documents. Organizes and maintains appointments/scheduling for Senior Management. Organizes and maintains Department records/reports directly related to the responsibilities of Sr. Management Ensures the scheduling in advance of adequate rooms, reservation and delivery of needed equipment and catering of food, when appropriate, for meetings and training sessions. Provides a standard of excellence as it relates to customer service for patients, staff members, and other customers. Prepares and maintains performance improvement data Maintains departmental policies, procedures and forms on department infonet site. Monitors review dates and acts to ensure all documents are kept current, according to organizational standards Facilitates receipt and payment of designated vendor invoices Adhere to all regulatory requirements such as, JCAHO, CLIA, HIPAA, etc. Qualifications Experience Requirements 3 years administrative assistant experience required 1 year in a healthcare setting preferred Education High School Diploma or GED equivalent required Associates Business administration or similar field preferred Travel Up to 10% Additional Duties Additional duties as assigned may vary UFJPI is an Equal Opportunity Employer and Drugfree Workplace
