Position Summary:
We're hiring a versatile and proactive Executive Assistant who will serve as the front desk presence and provide direct, hands-on support to the CEO alongside broader responsibilities across Marketing, Shipping/Logistics, and Office Administration. This role requires someone who can anticipate needs, handle both professional and personal matters with discretion, and keep the office running smoothly. You'll be a cultural anchor—supporting employee engagement, team morale, and daily executive operations alike.
Key Responsibilities:
CEO & Executive Support Manage and maintain the CEO's daily calendar, appointments, and meeting coordination Handle travel arrangements including flights, hotels, ground transportation, and itineraries Assist with personal tasks and errands as directed by the CEO (scheduling personal appointments, managing personal vendor relationships, etc.) Support real estate-related tasks such as coordinating with agents, managing documents, scheduling walkthroughs, and following up with relevant parties Prepare the office each morning, including maintaining the coffee station and ensuring the executive workspace is ready for the day Act as a gatekeeper and first point of contact for the CEO's communications and follow-ups Handle sensitive matters and personal-professional tasks with full confidentiality and discretion Anticipate the CEO's needs proactively and reduce friction in his day-to-day Front Desk & Administrative Greet visitors, answer phones, and manage incoming inquiries Keep the front office organized and professional Support scheduling and travel coordination for executives Logistics & Operations Oversee some day-to-day shipping/logistics tasks Assist with RMA tracking and vendor/customer communication follow-ups Provide backup support for customer service and order processing
Qualifications:
1-3 years of experience in executive assistance, office administration, or a related role Prior experience supporting a C-level executive or business owner preferred Strong organizational and multitasking skills Excellent communication—both written and verbal A proactive, "how can I help?" mindset with a high degree of personal initiative Comfortable with numbers, spreadsheets, and financial documents Trustworthy, discreet, and professional when handling sensitive or personal matters Professional, reliable, and highly detail-oriented Experience with Finale Inventory or ShipStation is a plus Why Join Us?
