Executive Administrative Assistant No Limits Academy - 4.3 Melbourne, FL Job Details Full-time $40,000 - $46,000 a year 2 days ago Qualifications HIPAA compliance Microsoft Outlook Spreadsheets Maintaining patient confidentiality Professional ethics HIPAA Family Educational Rights and Privacy Act (FERPA) Full Job Description No Limits Academy is a Christian school that specializes in educating children with complex physical disabilities. As an Executive Administrative Assistant at No Limits Academy, you will support the daily operations of the school through administrative leadership, human resources coordination, financial organization, compliance support, and operational management. This role is essential in helping maintain an organized, professional, and Christ-centered environment for students, families, and staff. Executive Administrative Assistant duties include, but are not limited to: Support daily administrative and operational functions of the school. Assist with employee call-outs, scheduling adjustments, and immediate operational needs as necessary. Manage and maintain the Company's BambooHR system including onboarding, offboarding, employee documentation, payroll coordination, time tracking, and training records. Pre-screen prospective employees and coordinate interviews with administration. Coordinate employee onboarding processes including fingerprinting, contracts, email setup, and company property assignments. Maintain employee records and assist with evaluations and compliance documentation. Manage bookkeeping functions including receipt tracking, payroll preparation, donation tracking, petty cash, and financial organization. Utilize QuickBooks for financial reporting, account tracking, and reconciliation support. Coordinate and assist with monthly budget meetings and financial documentation. Maintain organized electronic and physical filing systems for employee and student records. Assist with student enrollment, retention, and documentation processes. Coordinate and maintain student compliance paperwork, attendance records, and medication documentation. Prepare reports, presentations, letters, spreadsheets, meeting agendas, and additional organizational documents. Manage office inventory, purchasing, and organizational supplies. Manage onsite technology including laptops, printers, SMART Boards, iPads, and related equipment. Maintain accurate inventory records for school technology and equipment. Update and maintain the Company website with accurate information. Maintain confidentiality regarding employee, student, financial, and organizational information. Collaborate with leadership and staff to support the mission and daily success of No Limits Academy. Promote the values of Christ in interactions with students, families, and fellow employees.
Executive Administrative Assistant Qualifications:
A Bachelor's degree is preferred. Strong verbal, written, organizational, and interpersonal communication skills are required. Experience with Microsoft Office (Word, Outlook, Excel, and PowerPoint) is required. Experience with BambooHR, QuickBooks, or similar organizational systems is preferred. Experience working in educational settings and/or with individuals with disabilities is preferred. Required Level II Background clearance required.
Physical Demands:
Able to lift up to 45 pounds. Able to bend, stoop, squat, stand, and walk throughout the workday. Able to work at a desk and computer for extended periods of time. Able to respond quickly in emergency situations as needed.
Additional Employment Requirements:
CPR and First Aid Certification (or willingness to obtain upon hire). Mandated Reporter Training (provided if needed). Adherence to professional boundaries and ethical standards. Compliance with FERPA, HIPAA, and organizational confidentiality standards. Reliable transportation and consistent attendance. Commitment to ongoing training and professional development.
Schedule:
