Job Description

Position Overview Accelerate Brevard:
Chamber of Innovation is seeking a highly organized, proactive, and detail-driven Executive Assistant to support the President & CEO and executive operations of a fast-paced, mission-driven chamber organization. This role is central to the organization's operational success. The Executive Assistant serves as a strategic administrative partner—supporting executive leadership, coordinating governance and board activity, managing internal systems and workflows, and ensuring operational discipline across meetings, projects, and communications. The ideal candidate is comfortable operating at the intersection of operations, governance, and executive support, thrives in a dynamic environment, and brings strong judgment, discretion, and follow-through. Key Responsibilities Executive & CEO Support
  • Provide direct, high-level administrative support to the President & CEO, including calendar management, meeting preparation, travel coordination, and expense tracking
  • Serve as a trusted gatekeeper and point of contact for internal staff, board members, investors, and external stakeholders
  • Prepare executive correspondence, talking points, briefing materials, and internal memos
  • Anticipate needs, track follow-ups, and ensure timely execution of executive priorities Operations & Work Plan Coordination
  • Support implementation and tracking of annual and departmental work plans, with a strong emphasis on operations and internal execution
  • Monitor deadlines, deliverables, and action items across staff and committees; maintain accountability dashboards or trackers as assigned
  • Assist in the development, organization, and upkeep of operational playbooks, procedures, and internal documentation
  • Coordinate with staff to ensure operational readiness for programs, initiatives, and major milestones Board & Governance Support
  • Coordinate logistics for Executive Committee, Full Board, Foundation Board, and advisory council meetings
  • Prepare agendas, assemble board packets, manage document distribution, and record minutes when required
  • Maintain governance records, including bylaws, policies, board rosters, terms, and official filings
  • Support onboarding and orientation logistics for new board members and senior volunteers Meetings, Events & Internal Coordination
  • Schedule and support internal staff meetings, planning sessions, and leadership retreats
  • Assist with operational logistics tied to key events (venue coordination, timelines, internal run-of-show preparation, and post-event follow-ups)
  • Coordinate with programming and communications staff to ensure alignment and preparedness Systems, Communications & Document Management
  • Manage document workflows using tools such as DocuSign, shared drives, and CRM-adjacent systems (e.g., GrowthZone)
  • Maintain organized digital and physical filing systems to support compliance, continuity, and efficiency
  • Handle incoming calls, emails, and correspondence with professionalism and discretion
  • Proofread and quality-check internal and external communications for accuracy and clarity Required Qualifications
  • Proven experience as an Executive Assistant, Senior Administrative Assistant, or comparable role supporting executive leadership
  • Exceptional organizational, time-management, and prioritization skills
  • Strong written and verbal communication abilities
  • High level of discretion and professionalism when handling confidential information
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); comfort learning new systems and platforms
  • Ability to manage multiple priorities in a deadline-driven environment Preferred Qualifications
  • Experience supporting boards, nonprofit organizations, chambers of commerce, or membership-based organizations
  • Familiarity with CRM systems, electronic document management, and calendar-intensive environments
  • Experience with meeting minutes, governance documents, or operational planning tools
