This vital role provides comprehensive administrative and operational support to our Principal , ensuring smooth day-to-day functioning of the office and project workflows. The ideal candidate is proactive, detail-oriented, and thrives in a fast-paced environment. You will play a key part in coordinating projects, managing schedules, handling correspondence, and supporting office management tasks with enthusiasm and professionalism. This paid position offers an exciting opportunity to develop your skills in a collaborative setting while making a meaningful impact on organizational efficiency. Duties Provide executive administrative support by managing complex calendars, scheduling meetings, and coordinating appointments using tools like Microsoft Outlook Calendar, Google Workspace and Zoom. Assist with event planning for commercial projects, conferences, and special events, including logistics coordination, vendor communication, and onsite arrangements. Handle bookkeeping and financial tasks using QuickBooks, including invoicing, expense tracking, and basic data entry to ensure accurate financial records. Support project coordination efforts by tracking deadlines, preparing reports, proofreading documents, and transcribing meeting notes with precision. Manage office operations including filing systems, front desk responsibilities and maintaining office supplies to ensure an organized work environment. Provide exceptional customer service by answering phones with professional etiquette, responding to inquiries promptly, and assisting visitors or clients as needed. Oversee clerical duties such as data entry, document management via DocuSign for digital signatures, filing important records, and supporting general office management activities. Qualifications Proven experience in executive administrative support or personal assistant roles within an office setting. Strong organizational skills with the ability to multitask efficiently in a fast-paced environment. Excellent communication skills with professional phone etiquette and clear transcription abilities. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace applications, and familiarity with Microsoft Outlook Calendar. Experience with QuickBooks or similar bookkeeping software is highly desirable. Demonstrated ability to handle sensitive information discreetly while maintaining accuracy in data entry and proofreading tasks. Prior experience in event planning, project coordination, or office management is preferred.
