ESSENTIAL FUNCTIONS AND RESPONSIBILITIES
Act as the point of contact among executives, employees, clients and other external partners Manage information flow in a timely and accurate manner Manage executives' calendars and set up meetings Make travel and accommodation arrangements Help prepare and reconcile expense reports Act as an office manager by keeping up with office supply inventory Format information for internal and external communication memos, emails, presentations, reports Take minutes during meetings Screen and direct phone calls and distribute correspondence Provide personal assistance to seniorlevel executives on an asneeded basis, including bill payment, file organization, etc. Follow up and provide status updates on propertylevel projects Prepare applications and other forms that need to be filed with respective agencies, insurance companies, lenders, and other affiliations Organize digital files and folders Help maintain website information, social media accounts (if experience applies) QUALIFICATIONS AND EXPERIENCE 3
to 5 years Administrative or Clerical experience Proficient in Microsoft Office Suite; Outlook Outstanding organizational and time management skills Ability to multitask and prioritize Excellent verbal and written communication skills and able to work well with others Keen attention to detail Good judgment and reasoning ability Discretion and confidentiality Ability to maintain a professional demeanor at all times EQUAL OPPORTUNITY EMPLOYER
