This vital role provides comprehensive support to the President, ensuring smooth daily operations and effective communication across departments. The ideal candidate will be proactive, detail-oriented, and possess exceptional multitasking skills. As an energetic and motivated professional, you will manage calendars, coordinate meetings, handle correspondence, and oversee various administrative functions that keep our organization running seamlessly. Duties Manage complex calendars, schedule appointments, and coordinate meetings with precision and efficiency Handle incoming calls using multi-line phone systems with professionalism and courtesy, ensuring excellent phone etiquette Prepare, proofread, and organize documents, reports, and correspondence with attention to detail and accuracy Maintain organized filing systems both digitally ( Microsoft Office) and physically for easy retrieval of information Support bookkeeping tasks using QuickBooks or similar accounting software, including data entry and invoice processing Greet visitors warmly, providing exceptional customer service and support Assist with personal tasks for executives such as calendar management, travel arrangements, and personal errands when needed Perform clerical duties such as data entry, proofreading, and filing Provide administrative support for special projects, including organizing events or meetings and preparing presentation materialsExperience Proven experience as an Executive Assistant or in a similar administrative role within an office environment Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced setting Bilingual abilities are highly desirable to support diverse teams and clientele Experience working with multi-line phone systems and providing top-tier customer service in person or over the phone Knowledge of office management procedures combined with familiarity in bookkeeping or basic accounting practices using QuickBooks or similar tools Demonstrated ability to handle sensitive information discreetly while maintaining professionalism at all times, maintain strict confidentiality Strong time management skills with the ability to multitask efficiently while meeting deadlines Join us in this role where your organizational talent and proactive approach will make a meaningful impact!
