Executive Assistant & Office Coordinator Location:
Sunny Isles Beach, FL 33160

Experience Required:
Minimum 3 Years Position Overview The Executive Assistant & Office Coordinator will work directly with company leadership and play a critical role in supporting daily business activities, project coordination, scheduling, communications, and administrative operations. The ideal candidate is detail-oriented, professional, resourceful, and comfortable handling confidential information while managing multiple priorities. Responsibilities Manage executive calendars, appointments, and meetings Coordinate schedules and follow up on action items Organize and maintain company files, records, and documentation Prepare reports, presentations, spreadsheets, and business correspondence Track ongoing projects and ensure deadlines are met Coordinate communication with vendors, partners, suppliers, and service providers Assist with recruiting, onboarding, and administrative processes Book travel, accommodations, and business appointments when needed Support office operations and organizational systems Conduct research and gather information for business initiatives Maintain confidentiality regarding company information and executive matters Help leadership stay organized, informed, and focused on strategic priorities Qualifications Required Minimum 3 years of experience in an Executive Assistant, Administrative Assistant, Office Manager, Operations Coordinator, or similar role Experience working in a professional, established company environment with significant responsibilities Excellent verbal and written English communication skills Strong organizational and time-management skills High attention to detail and accuracy Ability to prioritize tasks and manage multiple projects simultaneously Strong proficiency with Microsoft Office and Google Workspace Ability to work independently and solve problems proactively Professional demeanor and strong sense of accountability Preferred Spanish language skills Experience supporting executives, business owners, or senior management Experience with project management tools such as Todoist, Asana, ClickUp, Monday.com, or similar systems Experience with e-commerce, Amazon, Shopify, Walmart Marketplace, or consumer products businesses What We Are Looking For We are seeking someone who: Takes ownership of responsibilities Follows through without constant supervision Anticipates problems before they occur Is highly organized and dependable Communicates professionally and clearly Enjoys helping a growing company succeed Compensation Compensation will be determined based on experience, qualifications, and overall fit for the position. Schedule Monday - Friday Full-Time Primarily In-Office Hybrid flexibility may be available after successful onboarding and demonstrated performance.
