We are seeking a highly organized, proactive, and detail-oriented Executive Assistant who thrives in a fast-paced environment and is passionate about helping others succeed. This is not a traditional administrative role. The ideal candidate is a systems-minded professional who enjoys creating structure, solving problems, and managing multiple priorities with excellence. They are dependable, resourceful, and capable of anticipating needs before they arise. The Executive Assistant serves as the operational backbone of the team, allowing the lead agent and sales team to focus on client relationships, lead generation, and business growth. As the team expands, this individual will have opportunities to take on leadership responsibilities, assist with hiring and onboarding, and help scale the operations of a growing real estate business. What You'll Do Operations & Systems Build, implement, and manage systems that support buyers, sellers, lead generation, database management, and team operations Create and maintain documented procedures, workflows, and operational standards Continuously improve systems to increase efficiency and scalability Transaction & Client Management Oversee transactions from contract to close Coordinate with clients, title companies, lenders, vendors, and agents throughout the transaction process Ensure all deadlines, documents, and compliance requirements are met Deliver a high-level customer experience throughout every transaction Financial & Administrative Management Manage accounts payable and accounts receivable Track commissions, invoices, expenses, and budgets Prepare financial reports and maintain accurate records Assist with payroll and vendor management Team Support & Leadership Serve as the primary administrative support for the lead agent Manage schedules, priorities, and key projects Assist with open houses, training and accountability of administrative staff as the team grows Coordinate open houses, team meetings, events, and special projects Essential Responsibilities Operations management Systems development and implementation Transaction coordination Client and vendor relations Financial administration and bookkeeping Project management Team support and communication Communication & Collaboration This role interacts regularly with: Lead Agent Sales Team Members Clients and Prospective Clients Market Center, Title Companies and Lenders Vendors and Service Providers Administrative Team Members Qualifications Skills & Abilities Exceptional organizational and time-management skills Strong written and verbal communication High attention to detail and follow-through Ability to manage multiple projects simultaneously Strong problem-solving skills Professional and service-oriented mindset Ability to remain calm under pressure Learning-based and growth-minded Strong technology proficiency and ability to learn new systems quickly Experience 3+ years of administrative, executive assistant, operations, or project management experience Previous real estate experience preferred Transaction coordination experience preferred Bookkeeping or financial management experience preferred Bachelor's degree preferred but not required Real estate license is required Compensation & Benefits Compensation will be based on experience and qualifications and may include: Competitive base salary Performance-based bonuses Paid time off Professional development opportunities Growth and leadership opportunities Access to Keller Williams training and resources Additional benefits based on experience and team structure Success Looks Like The right person will become an indispensable partner to the lead agent, create operational excellence behind the scenes, improve the client experience, and help the team scale while maintaining the highest standards of service and professionalism.
