Position Overview We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support the CEO and leadership team in managing the day-to-day operations of the firm. This individual will play a critical role in helping leadership remain organized, focused, and effective by coordinating projects, planning events, managing administrative responsibilities, and ensuring smooth communication across the organization. What We Look For We value team members who are: Positive, professional, and dependable Highly organized with exceptional attention to detail Resourceful and proactive Strong communicators, both written and verbal Calm under pressure and adaptable to change Team-oriented with a willingness to help others Accountable and able to take ownership of projects Growth-minded and eager to learn Possess a strong sense of professionalism and discretion Have a great attitude and sense of humor Key Responsibilities Executive Support Support the CEO and leadership team with administrative and organizational responsibilities Coordinate meetings and leadership activities Prepare agendas, presentations, reports, and business correspondence Track projects, action items, and follow-up tasks to ensure timely completion Assist with travel arrangements, reservations, and logistical planning as needed Anticipate needs and proactively solve problems before they arise Project & Administrative Management Assist with execution of strategic initiatives and special projects Coordinate internal communication and team activities Maintain organized records, documents, and operational resources Support office administration and vendor coordination Help improve processes and operational efficiency across the firm Assist leadership with planning, organization, and project management responsibilities Event Planning & Coordination Plan and coordinate internal team meetings, workshops, and leadership retreats Assist with client appreciation events, educational seminars, and community outreach initiatives Coordinate venues, vendors, catering, invitations, registrations, and event logistics Manage event calendars, timelines, and budgets Support post-event follow-up and attendee communications Help ensure a first-class experience for clients, guests, and team members Team & Client Experience Support Provide administrative support that enhances the overall client and team experience Assist with preparation of meeting materials and client communications as needed Support hospitality and office experience initiatives for visitors and guests Serve as a resource for coordinating requests between leadership and team members Help maintain a professional, organized, and welcoming office environment Qualifications Required Bachelor's degree preferred 3+ years of executive assistant, administrative, office management, or project coordination experience Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint Excellent organizational and time-management skills Exceptional attention to detail and follow-through Strong written and verbal communication skills Ability to manage multiple priorities in a fast-paced environment Preferred Experience supporting executives or senior leadership Experience planning meetings, events, or corporate functions Financial services, wealth management, or professional services experience Strong project management and organizational capabilities Ability to work independently and exercise sound judgment What Success Looks Like Leadership remains organized and focused on high-value activities Internal meetings, projects, and initiatives are executed efficiently Client-facing and internal events are professionally planned and well attended Team communication and coordination improve across the organization The office operates smoothly, professionally, and efficiently Clients and guests consistently experience the high standard of service our firm is known for Compensation & Benefits Competitive salary: $55,000 - $65,000 401(k) with company match Health insurance Dental insurance Vision insurance Paid time off Professional development opportunities Collaborative and growth-oriented culture Opportunity to grow within one of Central Florida's leading wealth management firms Why Join Signature Wealth Advisors?
