Description:
The Company is a fast-growing, woman-founded virtual lactation company on a mission to support mothers across the country. We move quickly, we think big, and we operate with intention — and we are looking for an Executive Assistant who can keep pace with all of it. This is not a role for someone looking for a routine, predictable workday. It is a role for someone who is energized by complexity, thrives without hand-holding, and takes deep ownership of whatever lands in their lap. You will work directly alongside our CEO, serving as a key link between her and our leadership team — which includes the Head of Marketing and the Director of Operations. When our CEO needs something done, you will be the one who makes it happen, and when our leadership team needs to stay aligned, you will be the connective tissue that keeps things moving. You will need to be equally comfortable fielding a strategic request from the CEO and coordinating a deadline across departments — often in the same hour. What You'll Do Your primary focus is supporting the CEO — protecting her time, extending her capacity, and ensuring nothing critical falls through the cracks. You will shadow her closely, develop a strong understanding of her priorities, and learn to anticipate what she needs before she asks for it. In that capacity, you can expect to: Manage the CEO's calendar with a high degree of judgment and discretion Coordinate across the leadership team (CEO, Head of Marketing, Director of Operations), facilitating communication and keeping projects moving Act as a point of contact and liaison between leadership and the broader team Handle logistics, scheduling, and follow-through on time-sensitive tasks Build and maintain organized systems across platforms including Notion and Asana Leverage AI tools daily to increase efficiency and automate wherever possible Research tools, vendors, and resources to support business operations Support business travel and other logistical planning Pick up anything else that needs handling — and handle it well The scope of this role will evolve as the company grows and trust is built. What we can guarantee is that the work will be meaningful, varied, and will rarely look the same from one week to the next. What We're Looking For We need someone with real executive support experience — someone who has operated in a high-demand environment and understands what it truly means to support a leader, not just complete tasks. You should be the person who quietly keeps everything running without needing direction at every step. Required Prior experience as an Executive Assistant or in a comparable high-level administrative support role Advanced proficiency in Notion and Asana — you should know these tools well, not just know of them Strong command of AI tools and a genuine willingness to use them as a core part of your daily workflow Comfort with Google Workspace (Calendar, Gmail, Docs, Sheets) Excellent written and verbal communication — you will regularly represent the CEO's office and interact with multiple members of leadership Ability to prioritize independently and operate effectively in a fast-paced environment where priorities shift quickly Nice to Have Experience in a startup or high-growth company Familiarity with social media platforms (Instagram, TikTok, Facebook) Basic Canva skills Who Thrives Here This role is the right fit if you: Live in Sarasota and can work in person when needed Are genuinely energized by a fast-moving environment — not just tolerant of it Can hold multiple priorities in the air at once without dropping any of them Take initiative without being asked and solve problems without waiting for a script Are calm, clear-headed, and dependable when the stakes are high Understand that supporting a leader well is a high-skill, high-trust function — and take that seriously If you need a lot of structure, clearly defined boundaries, or close direction to feel comfortable, this may not be the right fit.
