Job Description

Who We Are Seattle Engraving Center is an American surface engineering and design studio serving collectors and industry partners worldwide. We transform firearms through engraving, precious metal finishing, gemstone setting, and presentation into collector-grade works executed entirely in our Tampa Heritage Studio. Role summary We are seeking a highly organized and discreet Executive Assistant to support the COO and leadership team of Seattle Engraving Center. This role combines executive support, operational coordination, and project management within one of America's most distinctive luxury manufacturing studios. The ideal candidate brings exceptional judgment, polished communication skills, and the ability to manage competing priorities with precision and professionalism. Responsibilities Prepare executive correspondence, presentations, reports, and briefing materials with exceptional accuracy and discretion. Coordinate confidential communications with clients, vendors, advisors, and strategic partners. Track strategic initiatives, deadlines, and follow-up actions to ensure key projects remain on schedule. Organize and maintain contracts, records, and business documentation for efficient retrieval and audit readiness. Screen incoming communications, prioritize matters requiring executive attention, and resolve routine issues independently. Coordinate meetings, prepare agendas, and monitor action items through completion. Support special projects involving operations, business development, and executive planning. Anticipate leadership needs and proactively address issues before they become obstacles. Uphold strict confidentiality while handling sensitive business and financial information. Skills & Qualifications 5+ years of experience supporting senior executives or business owners. Exceptional organizational skills and the ability to manage multiple priorities with accuracy and discretion. Strong written and verbal communication skills with a polished, professional demeanor. Advanced proficiency in Microsoft Office and Google Workspace. Proven ability to prepare executive correspondence, reports, and presentations. High level of discretion and sound judgment when handling confidential information. Ability to work independently, anticipate needs, and solve problems proactively. Experience with ERP, CRM, or project management systems is preferred. Bachelor's degree preferred but not required with relevant experience. Preferred Experience Manufacturing, legal, financial, or professional services environment. Shopify, Airtable, Katana, or comparable business systems. Operational reporting, purchasing, and vendor coordination.
