We are seeking an organized, dependable, and energetic Operations Coordinator & Executive Assistant to become a key member of our team. This position serves as the primary support person to the President and plays a vital role in helping manage the daily operations of a growing business. The successful candidate will be involved in customer service, sales support, inventory management, administration, marketing, and operational coordination. This is an excellent opportunity for someone who enjoys variety, takes initiative, and wants to grow with a successful small business. Position Overview As Operations Coordinator & Executive Assistant, you will help ensure that Smiley Honey operates smoothly every day. You will work closely with the President to coordinate operations, support customers, manage administrative tasks, assist with sales activities, oversee inventory processes, and help maintain communication throughout the organization. When management is traveling, including occasional international travel, you will help oversee daily activities, communicate important developments, and assist in keeping operations running efficiently. This role requires someone who is highly organized, dependable, proactive, and comfortable taking ownership of responsibilities. Key Responsibilities Customer Orders & Customer Service Process and manage daily Online orders Print orders and shipping documentation Coordinate packing and shipment of customer orders Monitor deliveries and assist with shipping issues Respond professionally to customer emails and inquiries Provide outstanding customer service by phone, email, and in person Resolve customer concerns in a friendly and professional manner Ensure own stores are running smoothly and have all they require. Wholesale Customer Management Communicate regularly with wholesale customers Receive and process wholesale orders Assist with production planning and fulfillment scheduling Maintain strong customer relationships Follow up on customer feedback and service issues Help identify opportunities to increase sales with existing customers Inventory Management & Purchasing Perform inventory counts and maintain inventory records Monitor stock levels and forecast inventory requirements Assist with production and inventory planning Prepare inventory reports for management and accounting Order packaging materials, office supplies, and operational consumables Help prevent stock shortages and production interruptions Cash Handling & Reporting Count cash receipts and deposits Maintain accurate cash records Prepare weekly cash summaries and reports Follow established cash-handling procedures Staff Administration Assist with employee scheduling Collect, verify, and organize employee timecards Assist with payroll administration Support onboarding and employee administration activities Sales & Business Development Maintain relationships with existing customers Contact customers to generate repeat sales Assist with prospecting and new customer outreach Visit retailers, gift shops, specialty food stores, and other prospective customers Represent Smiley Honey at events, farmers markets, and trade shows Support promotional and sales initiatives Executive Assistance Provide administrative support to the President Coordinate projects and follow up on action items Assist with scheduling, communications, and priorities Prepare reports and operational summaries Maintain confidentiality regarding company information Operations Oversight Help ensure daily operational tasks are completed efficiently Identify issues and recommend solutions Communicate regularly with management regarding operational matters Assist with routine operational decision-making when management is traveling Maintain communication through WhatsApp and other communication platforms Social Media & Marketing Manage Smiley Honey's social media platforms Create and publish regular content Respond to customer comments and messages Assist with promotions, product launches, and marketing campaigns Help grow brand awareness and customer engagement Qualifications / Preferred Experience Previous experience in administration, office management, executive assistance, customer service, retail operations, or similar roles Experience with Shopify or other e-commerce platforms is preferred Strong computer skills including Microsoft Office and Google Workspace Experience with social media management is an advantage Strong organizational and multitasking abilities Excellent written and verbal communication skills Ability to learn new software and systems quickly Requirements Valid driver's license Reliable transportation Ability to occasionally lift and move boxes weighing up to 40 pounds Personal Characteristics The ideal candidate will be: Honest and trustworthy Highly organized and detail-oriented Self-motivated and proactive Professional and dependable Friendly and customer-focused Comfortable working independently Willing to take ownership and responsibility Able to prioritize tasks and solve problems Adaptable and comfortable in a fast-paced small business environment Why Join Smiley Honey?
