Job Description:
Medical Device firm is seeking a seasoned Executive Assistant to support three senior executives. This role requires a highly organized, detail-oriented professional who can manage competing priorities with ease in a fast-moving environment. You'll serve as a central point of coordination, ensuring seamless communication between executives and both internal and external stakeholders. Strong judgment, discretion, and clear communication are essential to success in this role. Responsibilities Manage and prioritize executives' calendars, time, travel, and administrative deliverables to keep daily operations running efficiently. Coordinate and process expense reports related to executive travel, meetings, and events with accuracy and timeliness. Oversee travel logistics, including flights, accommodations, ground transportation, and detailed itineraries. Anticipate needs by reviewing upcoming meetings and events, ensuring executives are prepared with the right materials, context, and agendas. Support internal and external meetings and events, including scheduling, space coordination, catering, virtual invites, materials prep, and note-taking. Contribute to special projects with shifting priorities, helping track timelines, action items, and follow-ups to keep work moving forward. Assist with planning and execution of company events and employee functions, from internal meetings to larger celebrations. Provide flexible, ad hoc administrative support and assist where needed as priorities evolve. Ideal Experience A Bachelor's degree is preferred, with 7+ years of experience in administrative support, project coordination, executive assistance, or a related field. Demonstrates strong ownership, accountability, and the ability to work independently. Brings excellent communication and interpersonal skills, with experience supporting internal teams and high-profile external stakeholders. Highly organized with strong attention to detail; able to manage multiple priorities and deadlines. Adaptable and resourceful, comfortable navigating change and ambiguity. Sound judgment, a high level of integrity, and discretion. Proactive problem-solver with a sense of urgency and follow-through. Collaborative team player who contributes to shared goals.
