Job Description

Salary:
$65,000 - $90,000 + Benefits

Job Summary:
We are seeking a highly organized, proactive Executive & Personal Assistant to support a dynamic executive and family across business operations, household management, rental properties, travel, and personal priorities. This role requires someone who thrives in a fast-paced environment, anticipates needs before they arise, and can seamlessly manage multiple responsibilities with discretion and efficiency. The ideal candidate is resourceful, detail-oriented, and able to bring structure to a constantly evolving workload.
Job Responsibilities:
Executive & Business Support
  • Manage and protect executive calendar; prioritize and adjust schedules proactively
  • Handle communications, meeting prep, agendas, and follow-ups
  • Support operational projects across multiple business entities
  • Track invoices, expenses, payables, and recurring obligations
  • Provide light bookkeeping support (QuickBooks/Acumatica preferred)
  • Coordinate with vendors, partners, and community organizations
  • Assist with philanthropic and community initiatives
  • Prepare presentations, reports, and executive communications Household & Family Management
  • Oversee day-to-day household operations and vendors (maintenance, cleaning, landscaping)
  • Coordinate deliveries, returns, and home service appointments
  • Run errands, including shopping and organization projects
  • Maintain household calendar and assist with scheduling needs
  • Support spouse with task management and project follow-through
  • Provide daily updates and next-day planning
  • Assist with event planning and community involvement Family & Child Support
  • Source and manage tutors (immediate focus on math tutoring)
  • Support school logistics, scheduling, and academic planning
  • Assist with college pre,p including applications and deadlines
  • Maintain confidentiality and professionalism at all times Rental Property Management
  • Manage tenant communication and coordinate maintenance/repairs
  • Track leases, renewals, utilities, and key dates
  • Oversee vendors and ensure timely completion of work
  • Monitor expenses, receipts, and property-related items
  • Handle special situations (HOA notices, tickets, etc.)
  • Assist with ongoing property reporting and organization Equestrian & Animal Support
  • Track equestrian-related expenses and records
  • Coordinate vendors, trainers, vet/farrier appointments, and events
  • Assist with animal purchases, leases, and equipment needs
  • Provide light oversight for animals at home as needed Travel & Logistics
  • Coordinate domestic and international travel
  • Book flights, accommodations, transportation, and activities
  • Manage last-minute changes efficiently
  • Ensure cost-effective, high-quality travel planning
  • Provide remote support while the executive/family is traveling
Qualifications:
  • 5+ years of experience in Executive Assistant, Personal Assistant, or similar role
  • Strong organizational and multitasking abilities
  • Proactive, solutions-oriented mindset
  • High level of discretion and professionalism
  • Experience managing complex calendars and competing priorities
  • Familiarity with QuickBooks, Acumatica, or similar systems preferred
  • Excellent communication and follow-through skills
  • Comfortable managing both professional and personal responsibilities
