Job Description
Executive Assistant - Dental Practice Leadership (Healthcare) Savannah, GA | Full-Time | Monday-Friday $25-$35/hour (based on experience) Medical Arts Dentistry is seeking a highly organized, proactive Executive Assistant with healthcare experience to support the Practice Owner and leadership team. This role is ideal for someone who thrives in a fast-paced medical environment and excels at both executive-level support and hands-on office management. The Executive Assistant plays a vital role in streamlining administrative operations, supporting staff and patient workflows, and ensuring efficient day-to-day and long-term practice operations. What You'll Do Manage complex executive calendars using Microsoft Outlook and Google Workspace, coordinating meetings, appointments, and deadlines Provide high-level executive administrative support including report preparation, proofreading, transcription, and correspondence Support daily practice operations and staff coordination Assist with treatment plan workflows and patient experience initiatives Track projects, systems, and growth initiatives, ensuring timely follow-up and completion Coordinate vendors, consultants, and external professional relationships Organize and facilitate practice-related meetings and events, including logistics and vendor coordination Maintain accurate records, filing systems, data entry, and basic bookkeeping Oversee office management duties including supply procurement and administrative compliance support Serve as front desk support as needed, greeting visitors, managing multi-line phone systems, and delivering exceptional customer service Provide comprehensive executive administrative and personal support to the Practice Owner, including management of professional and personal schedules, travel coordination, correspondence, task organization, and time‑sensitive requests that support effective leadership and work‑life efficiency. Reporting & Key Performance Indicators The Executive Assistant will assist leadership by tracking, organizing, and reporting on administrative and operational performance indicators, including: Executive Operations Calendar efficiency, deadline adherence, and task completion timeliness Action-item tracking and follow-up completion rates Practice Operations Support Accuracy and timeliness of operational documentation, SOPs, and records Vendor contract organization, renewals, and issue resolution Staff & Workflow Coordination Scheduling coordination efficiency and communication responsiveness Completion of onboarding paperwork, administrative HR documentation, and internal requests Treatment Coordination & Patient Experience Timely administrative follow-up on treatment plans and patient communications Support of workflow efficiency impacting scheduling flow and case readiness Projects & Growth Initiatives Progress tracking against assigned operational or strategic projects Reporting on milestones, action items, and identified workflow improvements What We're Looking For 3+ years of Executive Assistant or senior administrative experience Healthcare (medical or dental) experience strongly preferred Proven office management and project coordination skills Exceptional organization, judgment, and discretion Strong written and verbal communication skills with professional phone etiquette Proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and digital tools Experience with QuickBooks, DocuSign, and multi-line phone systems preferred Ability to multitask efficiently and remain calm under pressure Why Join Us Leadership-facing role with meaningful impact Stable, growing dental practice Competitive compensation and professional work environment Apply with resume and brief cover note.
