Job Overview We are seeking a dynamic and highly organized Executive Assistant to join our team! In this vital role, you will provide comprehensive administrative support to senior leadership, ensuring smooth daily operations and efficient management of schedules, communications, and office functions. Your proactive approach, exceptional organizational skills, and positive attitude will help drive our organization forward. Duties Manage complex calendars, schedule meetings, and coordinate appointments for executives with precision and professionalism Handle incoming calls using multi-line phone systems, directing inquiries with excellent phone etiquette and customer service skills Prepare, proofread, and edit correspondence, reports, and presentations using Microsoft Office and Google Workspace tools Organize and maintain filing systems, both digital and physical, ensuring easy retrieval of documents and records Assist with office management tasks such as ordering supplies, overseeing front desk operations, and managing office equipment Support bookkeeping activities including data entry, invoicing, and basic QuickBooks bookkeeping tasks Provide personal assistant support as needed, including travel arrangements, event planning, and calendar management Requirements Proven experience in office management or administrative roles with clerical experience in a professional setting Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar), and data entry skills Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Bilingual abilities are highly desirable to assist diverse client needs Experience working as a receptionist or medical/dental receptionist is a plus; familiarity with front desk operations is essential Demonstrated customer service skills with professional phone etiquette and support capabilities Ability to type quickly and accurately while maintaining attention to detail; proofreading skills are beneficial Knowledge of office equipment such as multi-line phones, fax machines, printers, and filing systems Strong time management skills with the ability to handle multiple responsibilities efficiently Personal assistant experience or medical/dental receptionist background is advantageous for supporting executive needs Join us in this energetic role where your organizational prowess will make a real impact!
